SUMMER INTERNSHIPThis is a temporary role starting June 3, 2024 and ending August 9, 2024. POSITION SUMMARY The Events Intern will work in conjunction with the events sales and fulfillment team while obtaining hands-on experience within all aspects of an event’s lifespan to include site visits, drafting contracts, detailing of banquet event orders, drawing floor plans, and execution of non-ticketed events at Dr. Phillips Center. They will provide daily administrative support to the event sales and fulfillment team while adapting to operational needs. Additionally, the Events Intern will have the opportunity to learn the overall business operation of the Dr. Phillips Center through shadowing and meeting with related departments. ESSENTIAL JOB FUNCTIONS/RESPONSIBILITIESSupport Event Sales by entering event leads and contacts into software. Create, review and present contracts to Event Sales for approval. Support Events Team with the distribution of interdepartmental paperwork on a consistent basis ensuring all departments have current event information.Form partnerships with departments on internal events and creating new efficiencies.Assist Events team with updating layouts for event spaces, request estimates and place orders from internal teams and external vendors for event related needs as requested.Occasionally assist the Event Manager onsite including event execution, providing event related services to clients and colleagues.Process post event information including filling, scanning and financial support.Maintain daily communication with team members through email, phone calls, and in person meetings.Develop professional and friendly relationships with other departments, colleagues, vendors and partners to keep the Dr. Phillips Center standards of guest service.Able to remain calm under pressure with the ability to work effectively with internal and external clients, some of whom will require high levels of patience, tact, and diplomacy.Assimilate into the arts center culture through understanding, supporting, and demonstrating the core values. Follow and support all operational policies and procedures.Able to effectively communicate in English in both written and oral forms.Flexibility to perform other duties as assigned. KNOWLEDGE AND EXPERIENCECurrently enrolled as a Junior or Senior in post-secondary education in a related field (i.e. events, wedding, and/or general hospitality)Ability to complete a heavy workload, prioritize and handle multiple tasks in a face-paced environment while meeting all required deadlines.Team player with creative problem-solving skills, high enthusiasm, and a strong work ethic.A self-starter who is well-organized and detail oriented. Excellent written and verbal communication skills. Must have excellent customer service skills, interpersonal skills and business etiquette coupled with the ability to handle challenges or difficult situations with grace, diplomacy and tact.Strong computer skills including Excel, Word, PowerPoint, Teams and Office. Prefer candidates with knowledge of an Account Management System such as Caterease, TripleSeat, ArtsVision or Social Tables.Must be able to perform moderately complex mathematical functions. SPECIAL CONDITIONS OF EMPLOYMENTThis position requires the ability to work a variable schedule (evenings and weekends) to meet operational needs.
