Dr. Phillips Center for the Performing Arts is Hiring a Supervisor, School of the Arts Near Orlando, FL

Who will this role appeal to?
Individuals who find satisfaction in completing administrative assignments and enjoy working in an environment with children. Schedule flexibility is needed as hours will vary seasonally (summer camps, fall and spring class programs).
POSITION SUMMARY
The School of the Arts (SOA) Supervisor works closely with the Manager, School of the Arts to efficiently run SOA operations. The Supervisor is responsible for supporting and executing daily operations of SOA programs (classes and camps) while maintaining a friendly and welcoming environment for participants.
ESSENTIAL JOB FUNCTIONS/RESPONSIBILITIES
  • Remain knowledgeable of SOA and Education programs and initiatives to effectively respond to inquiries.
  • Execute School of the Arts operational needs such as: answer SOA telephone; respond to school and camp inquiries via phone and/or email; register students into classes and camps using CRM database; process registration forms and student paperwork (waivers, scholarship applications, acknowledgement forms, etc.); process payments/refunds; send email communication to class/camp participants/guardians; maintain enrollment data for monthly reports; distribute end of session surveys and compile data for leadership team. Assist with coordination of student showcases.
  • Oversee and execute daily/weekly operations such as: preparing weekly SOA class/camp rosters with sign in/out sheets; print teaching artist lesson plans, syllabi, class handouts, etc.; inspect and prepare studios for classes (complete maintenance requests when needed); reserve parking for student drop-off/pick-up; post arrival signage; welcome parents/guardians and students to classes/c& assist with the smooth and safe departure of students while adhering to SOA protocols.
  • Manage activation calendar of Education Studios. Update ArtsVision with school, camp and programmatic information.
  • Lead, direct and supervise SOA Greeters and Summer Camp aids. Provide training and daily assignments. Assist manager with scheduling greeters and camp aids.
  • Assist SOA Manager in coordinating meetings (staff onboarding, staff training, pre-shift meetings, etc.).
  • Serve as “manager on duty” when SOA Manager is not present.
  • Develop activation guides for camp logistics, production/set up needs, staffing, and scheduling for summer day camps.
  • Ensure all summer camp rooms are set up prior to daily operation. Oversee lunch breaks and provide assistance during throughout the camp day.
  • Assist School of the Arts Manager in the organization and coordination of youth theater productions as needed.
  • Collaborate with internal teams to ensure effective planning, promotion and execution of SOA programs and events. Attend all required meetings.
  • Review, update or create SOP’s to meet the changing needs of SOA operations.
  • Follow and support all operational policies and procedures. Assimilate into the arts center culture through understanding, supporting and demonstrating the core values.
  • Must exercise significant judgment and confidentiality.
  • Maintain a professional and friendly relationship with other departments, colleagues, parents/guardians, students, teaching artists and partners.
  • Able to remain calm under pressure. Ability to work effectively with internal and external customers, some of whom will require high levels of patience, tact, and diplomacy. Maintain Dr. Phillips Center standards of customer service at all times.
  • Able to effectively communicate in English in both written and oral forms.
  • Other duties as assigned.
KNOWLEDGE AND EXPERIENCE
  • Must have at least two years’ administrative/operational experience in an education setting (daycare, school system, educational programs/institutions). Preference for candidates with experience/education in the Performing Arts.
  • High school diploma required. Associate or bachelor’s degree preferred. Prefer candidates with supervisory experience.
  • Must enjoy working with and inspiring children ages 6-18 years. Must have patience, stamina and energy necessary to work with children. Strong and effective communicator both verbally and written skills.
  • Well-versed in Microsoft Office Suite (Word, Excel, Outlook, Powerpoint) and CRM tool (database management).
  • Must have financial/budgeting experience. Must be able to complete moderately complex mathematical functions.
  • Experienced in planning, organizing and prioritizing duties, activities and events etc. with high attention to detail. Must be able to monitor and achieve project deadlines.
SPECIAL CONDITIONS OF EMPLOYMENT
  • This position requires the ability to work a variable schedule, evenings and weekends that align with School of the Arts class and camp programs.
  • Will be required to complete CPR/AED/First Aid training within the first 60 days or present an unexpired certificate of training.
  • Must complete Abuse & Molestation training prior to working with children. (company provided training)
