Downriver Community Conference is Hiring a Workforce Development Specialist Near Southgate, MI

The Workforce Development Specialist is responsible for programmatic and customer needs including file management, processing activities, stipends, training enrollments, credentials, work-based training activities, and exits in accordance to required guidelines. This position will complete and process detailed paperwork on customer activities, exits and follow-up. The Workforce Development Specialist will support the Wayne Linc team in processing and tracking payment requests, customer activity updates, training attendance, work-based training progress and related support documentation. Will also assist in maintaining a candidate pool for job order referral and updates to referral tracking, generate and provide regular program reports, and update/maintain file documentation. May be required to work a flexible work schedule when needed for customer contact or to help with special events.

PRINCIPAL DUTIES AND RESPONSIBLITIES INCLUDE BUT ARE NOT LIMITED TO:

· Utilize Microsoft Office skills, especially Excel, to produce various documents, tracking and reporting spreadsheets, agency correspondence and perform accurate data entry into state or local database. Apply knowledgeable of forms and documentation required by local, state, and federal programs to check and verify registration and enrollment paperwork.

· Conducts required follow-up with customers, training entity, or employer to obtain information needed to confirm attendance and training completion to support payment requests for stipends, training costs, supportive services, work-based training. Direct contact (phone or email) with customers, school and/or employer may occur. Processes required documentation and follows process to ensure all paperwork is completed timely in accordance with applicable regulations.

· Will assist with post program follow-up, enters data into system based on results of follow-up and identifies and refers customers to the Wayne Linc tea to assist in return to work.

· Learns and understands all programmatic guidelines, performance measures and monitoring requirements. Works daily to support contracted program goals and provides updated performance reports to the team to ensure all areas are met or exceeded.

· Helps to develop quality improvement processes and assists with internal monitoring. Responsible for ensuring that records are processed in accordance with program procedures and meet applicable governing regulations and internal guidelines.

· Identifies and reconciles expenditures in individual accounts, calculates and verifies financial information and verifies support documentation. Reports discrepancies and works with team for resolution.

· Assists other AJC staff with scheduling customers for various appointments, activities, and events.

· Reproduces and distributes documents, flyers, marketing and promotional materials and other various forms for group certification, education events, job fairs and orientations.

· Maintains the customers’ file system regularly, using internal and external checklists for monitoring and quality assurance.

· Trained to understand eligibility requirements and may assist Case Manager (CDF) or Business Services Representatives (BSR) to obtain updates or required documents.

· Assists with data entry of customer/employer information, program activities and services into OS/MIS and/or Launchpad. Will compile necessary back-up records for preparing unit reports within assigned timelines.

· Produces documents by utilizing MS Word, Excel, and other software, and may executes mass mailings or email blasts for special event invitations, announcements, routine customer follow-up, and seminar/workshop/orientation hand-outs.

· May assist with community recruitment for eligible customers to help ensure that all program numbers and goals are met or exceeded.

· Instructs customers, as needed, in the Pure Michigan website process and with other job search related tools; may help to cover in the ES Service Center when needed.

· Assists the team as needed with Orientation, Job Club, Workshops or Education or Hiring Events.

· Responsible for processing customer/employer paperwork as instructed by the Manager.

· Responsible for completing accurate and timely paperwork for various programs in compliance with funding source and other applicable.

· Responsible for maintaining updated knowledge of all programmatic services / processes including Federal, State, and local policies and procedures for programs operated under the AJC, including ES, PATH, RESEA, TAA, WIOA, and new programs as they become available.

· Supports team with active case management for program customers by developing and distributing contact notes and activity reports. Communicates effectively with the team and participates actively in case management meetings.

· Maintains updated knowledge, resources, and networks with community agencies and available services to enable immediate referral of and feedback on customers in need.

· May complete or review paperwork for activities. Will work heavily in processing stipends for customers attending training, checking attendance records; allowable hours, preparing documents for training payment.

· Will work heavily in work-based training activities. Checking paperwork for completeness, confirming information as needed and preparing documents for fiscal payment.

· Will work closely with the fiscal team to process payment requests in accordance with requirements and receipt payments in customer files.

· May assist staff on team projects for mass hiring events or any other event. May attend off-site meetings or events, workshops, and training sessions to maintain updated knowledge of the workforce development field.

· Assists with special programs/initiatives as mandated with any other duties needed to support the customers, program and/or DCC as a whole.

This is a new program pending official contract.

EDUCATIONAL AND EXPERIENTIAL REQUIREMENTS:

The Workforce Development Specialist position requires an education in data management, business administration, information systems, accounting, bookkeeping, or a related field. A degree is preferred but not required with a minimum of two years’ related experience. Knowledge of Workforce Development Practices and/or Workforce Development Programs is preferred. The Workforce Development Specialist must possess a high level of organizational skills, strong computer skills (Word, Excel and Powerpoint) and clerical skills; exceptional verbal and written communication abilities and interpersonal skills required. This position requires a person to be detail oriented with accuracy, self-motivated and goal oriented with a team approach.

Job Type: Full-time

Pay: $37,440.00 per year
