Description

Under the direction of the Clerk of Courts, this position provides accounting responsibilities to the Court System; to include management and collection enforcement of the receivables ordered by the Court System and provides assistance/customer service to various state, county, and city offices, agencies, departments, attorney offices, prison systems, Judges, and Judicial staff.
Full-time based on 37.5 hours/week; non-exempt; $22.47 - $23.65 per hour reflects the normal hiring range for 2024.
Essential Duties

  • Deputized by the Court to be able to assist in performing the duties of the court as required by statute.
  • Conducts financial functions for the court, using the State provided software (CCAP), which includes issuing and voiding checks, adjustments, monitoring accounts, creating judgements for unpaid fines, conducting research, tracking, and accurately entering data.
  • Create wage assignments and upload to the Department of Corrections.
  • Creates and monitors payment plans; entering assessments; bail bond forfeitures; billing for attorney fees.
  • Reviews and enters employee timecards in the payroll system.
  • Collects court ordered fines and fees using various methods.
  • Prepares and submits fines and fees to the Wisconsin Department of Revenue for the Tax Intercept program; sends out notices and letters; researches and resolves problems.
  • Prepares and submits fines and fees to the Wisconsin Department of Revenue (Tax Intercept Refund Program and State Debt Collection Agency); sends out notices and letters.
  • Receives, records and deposits payments, provides financial insights to the Courts, County, and constituents.
  • Dockets and files returned mail.
  • Receives and responds to various correspondence.
  • Provides customer service to internal and external customers.
  • Adheres to the Clerk of Courts policy of confidentiality.
  • Performs other duties as required.
Minimum Qualifications

  • High school diploma or equivalent and two-year vocational/technical training in bookkeeping/accounting required; two or more years of accounting/bookkeeping/payroll experience preferred; or any combination of education and experience that provides equivalent knowledge, skills, and abilities.
  • Job-related experience with legal/court systems preferred.

  • Ability to perform addition, subtraction, multiplication, and division; and to calculate percentages and decimals.
  • Ability to apply principles of rational systems.
  • Interprets instructions furnished in written, oral, diagrammatic or schedule form.
  • Ability to exercise independent judgement to adopt or modify methods and standards to meet variations in assigned objective.
  • Ability to exercise judgement, decisiveness and creativity in situations involving the evaluation of information against measurable or verifiable criteria.
Working Conditions:
This position routinely operates in a professional office environment, and extensively uses standard office equipment such as computers, photocopiers, scanners, and phones. While performing the duties of this job, the employee is occasionally exposed to stressful office environment conditions and graphic details of crimes or victim impact statements. The employee has the potential to encounter unpredictable and violent clients. The noise level in the work environment is moderate.
Physical Requirements:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this position, the employee is regularly required to talk or hear. Specific vision abilities required by this job include close vision and ability to adjust focus. Tasks involve the ability to exert light physical effort in sedentary to light work, which may involve some lifting, carrying, pushing and pulling of objects weighting five to ten pounds. Tasks may involve extended periods of time at a keyboard or workstation.
