Douglas County School System is Hiring an Administrative Specialist for Special Education Near Douglasville, GA

PRIMARY FUNCTION: The primary function of the Administrative Specialist is to assist the Special Education Director in any manner needed. Additionally, the Specialist will serve the Special Education Department as Office Manager.

PAY GRADE: Classified Salary Schedule N231- Grade 7 - Salary Range: $32,432.00 to $53,135.00. Salary placement will be based on Douglas County Board of Education approved salary schedules and years of verified experience.

FLSA STATUS: Non-Exempt

TERMS OF EMPLOYMENT: 231 Days (12 Months)

REPORTS TO: Executive Director of Special Education

EDUCATION LEVEL: Minimum of a high school diploma. Minimum high school diploma plus up-to-date computer experience.
Three or more years of successful experience in an educational environment.

CERTIFICATION/LICENSE: None.

PHYSICAL REQUIREMENTS: Routine physical activities that are required to fulfill job responsibilities. Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.

PROFICIENT SKILLS: Exceptional communication skills, able to maintain confidentiality, demonstrate ability to complete a high volume of work with accuracy and in a timely manner, familiar with budgets and accounting procedures, proficient in use of all types of office machinery, demonstrate sound judgment, initiative, and responsibility.

ESSENTIAL DUTIES:

  • Demonstrates prompt and regular attendance.
  • Works to promote and maintain a positive working environment.
  • Coordinates monthly workday schedule with other special education office staff including personal days, lunch rotation, and other workflow logistics.
  • Coordinates communication for the Director of Special Education, including crisis calls, and makes decisions regarding urgency. Make decisions in the absence of Director/Assistant Directors.
  • Assists the Director with monthly budget planning by maintaining the budget in Excel.
  • Completes input of IDEA budget into MyGaDOE Portal – Consolidated Application.
  • Assists with information and data collection for annual High Cost Grants.
  • Maintains special education and preschool budgets–both federal and local monies.
  • Processes purchase requests for Assistive Technology, HAVEN, VI, OT, PT, SLPs, and Audiology.
  • Generates all Special Education purchase orders.
  • Tracks special education purchase card expenditures.
  • Processes and tracks purchase requests for ESY supplies and inventory.
  • Serves as liaison between district and contracted consultants (nursing, OT, PT, SLP)
  • Processes all travel and leave for itinerate staff, including pre-approval for professional conferences.
  • Inputs service requests for all special education staff.
  • Orders, maintains inventory, and distributes all protocol requests for Educational Evaluators and School Psychologists.
  • Process all home/private school evaluation letters.
  • Maintains updated personnel list and coordinates periodic monitoring of IDEA paid certified and classified staff.
  • Coordinates technology inventory for special education department.
  • Tracks special education purchase orders and distributes special education materials when received.
  • Verifies and maintains expense reports for special education personnel and contracted services.
  • Maintains and re-orders office supplies for the Special Education Department.
  • Assist the Director in the documentation and preparation of the annual comprehensive plan.
  • Assists with communication between attorneys and the District.
  • Handles all Special Education records and information in a confidential manner.
  • Assists other special education personnel as needed.
  • Performs other duties as assigned by the appropriate administrator.
