DESCRIPTION

COMPENSATION & BENEFITS:
0-3% Merit upon successful completion of the probationary period and 0-3% annual merit increases thereafter based upon evaluation score.

Responsible for performing a wide variety of general clerical and routine administrative duties in support of operations. This is the entry-level class of the office support series. Initially under close supervision, incumbents learn office and department procedures. As experience is gained, there is greater independence of action within established guidelines.

ESSENTIAL FUNCTIONS

  • Assists general public, customers and staff in person, over telephone and by email; answers inquiries, provides general direction related to plan reviews and inspections, receives and attempts to resolve complaints, explains policies, procedures and proper use/completion of department forms.
  • Proofreads and checks typed and other materials for accuracy, completeness, compliance with departmental policies, and correct English usage, including grammar, punctuation, and spelling.
  • Enters, edits and retrieves data and prepares periodic or special reports, using a computer system and following established formats and menus; may perform production computer information entry.
  • Prepares and updates a variety of reports and records which may require the use of arithmetic calculations and consolidating materials from several sources.
  • Acts as receptionist and receives and screens visitors and telephone calls and takes messages; provides factual information regarding County or departmental activities and functions which may require the explanation of rules, policies and/or procedures; may receive, receipt and balance monies.
  • Maintains records and processes forms, such as work orders, purchase requisitions and others specific to the organizational unit; may make arithmetic or standard statistical calculations.
  • Establishes and maintains office files; researches and compiles information from such files; purges files as required.
  • Operates standard office equipment, including word processors, computers, facsimile equipment and central telephones.
  • Contributes to the efficiency and effectiveness of the unit's service to its customers by offering suggestions and directing or participating as an active member of a work team.
  • Compiles materials for meetings, prepare agendas and attend such meetings to take summary notes as required.
  • May train and direct the work of temporary staff for special projects or programs.
  • Represents the County with dignity, integrity, and a spirit of cooperation in all relationships with staff and the public.

QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education and Experience:

High School diploma AND one (1) year of general clerical experience; OR an equivalent combination of education, training and experience.

Required Knowledge and Skills

Knowledge of:

  • Business arithmetic.
  • Correct business English, including spelling, grammar and punctuation.
  • Basic record keeping practices.
  • Performing detailed office support work accurately.
  • The use of specified computer applications involving word processing, data entry and/or standard report generation.
  • Standard office practices and procedures, including filing and the operation of standard office equipment.
  • Business letter writing and the standard format for typed materials
  • Techniques for dealing with a variety of individuals from various socioeconomic, ethnic and cultural backgrounds, often in situations which may be stressful.

Skill in:

  • Performing detailed office support work.
  • Maintaining accurate office files.
  • Composing correspondence independently or from brief instructions.
  • Assembling reports, forms and other documents.
  • Entering numerical and related information into a computer system with speed and accuracy.
  • Meeting critical time deadlines.
  • Contributing effectively to the accomplishment of team or work unit goals, objectives and activities.
  • Establishing and maintaining effective work relationships with staff, coworkers, and the public.

Douglas County contributes 33.50% of an eligible Regular Member and 50% of an eligible Police and Fire Member's salary for retirement. Deferred Compensation Plans – Employees can participate in the VOYA Retirement Plans, which is funded by the employee.

Paid Leave
12 paid holidays per year. Generous paid leave accrual's including 96 hours sick annually, begin accruing 120 hours annual leave each year. The County has rich benefits plans to choose from: Preferred Provider (PPO) and Health Savings Account (HSA) with supplemental benefits to include: prescription plan, dental plan, vision, life insurance opportunities, cancer insurance, and disability insurance. Compensation
Douglas County's compensation system is based on Pay for Performance wherein employees are eligible for annual performance evaluations. The current structure consists of merit increases up to 3% on a qualifying employee's anniversary and Cost of Living Adjustments based on the Consumer Price Index during the first pay period of each fiscal year. The COLA will be up to 5% depending on the CPI each year. Additionally, eligible employees can be recognized for outstanding performance, above and beyond the call of duty, and receive additional compensation through the Recognition of Excellence Program.
