Personal Assistant for Dianna Kokoszka

We are a very small team that moves fast and strives to make a difference in the lives of everyone we have contact with.

The ideal candidate is solution-based, thrives on challenges, is extremely detail oriented and organized and is able to manage and prioritize multiple projects at once. This person has excellent written and oral communication skills, is driven, self-motivated and very tech savvy. They are deeply committed to completing tasks efficiently, with a high degree of quality, and providing consistent communication. This individual will be the main support person for Dianna.

Hours needed: This position must be available to check email, take phone calls and help as needed, while keeping office hours Monday-Friday in the office starting at 8:00 AM and ending at 5:00 PM.

· Ability to thrive in the details – be able to create and maintain systems and processes to improve team efficiency.

· Have a high sense of urgency and the keen ability to prioritize multiple projects in a fast-paced environment.

· Strong computer skills and internet/social media savvy – high proficiency in Microsoft Office, Google services, Zoom, Windows, and social media.

· Commitment to completing tasks with a high degree of accuracy and maximum efficiency.

· Ability to have a big picture mentality - strong commitment to supporting the sales team in achieving the team's continued success and goals.

· Intense desire to make a positive impact in the lives of all they are in contact with.

· Own all aspects of the job and not give any part of it back.

· Strong desire to see the goals of Dianna and team met.

· Strong desire to ensure accuracy throughout the process and meet deadlines.

· Strong desire to ensure all experiences are excellent.

Primary Responsibilities:

· Ensure Dianna is up to date and in the know of everything happening in her email, calls, phone, team and everywhere.

· Avoid double bookings and be the expert of her schedule, life, and email.

· Be the first point of contact of scheduling and contact for Dianna.

· Handle all bookings for Dianna’s speaking.

· Maintain all email of Dianna’s. Reporting to Dianna all necessary communication and asking when needed how to respond to emails. Highlighting emails only Dianna should respond to.

· File and maintain files in Dianna’s home office and business office.

· Make all travel arrangements including but not limited to air, hotel, car transportation, meals, meetings etc.

· Take notes for all meetings and events

· Aid in planning and preparing for all events as needed

· Organize all zoom calls, invites, PowerPoints as needed.

· Set up all zoom calls and items needed by Dianna to present

· Build, implement and manage all systems.

· Act as liaison between people having Dianna speak.

· Ensure accurate and compliant files for all transactions.

· Constantly communicate with Dianna as to all that is happening.

· Provide exceptional service to all people Dianna works with.

· Be prepared to handle situations as Dianna travels such as rebooking of flights, hotels etc.

· Facilitate the needs and expectations of the people Dianna mentors

· Facilitate all aspects of Dianna’s schedule

· Keep Dianna’s calendars up to date – Digital, Phone and Paper

· Maintain Legacy Log for Dianna and Tony’s home

· Transcribe recordings of speeches

· Read and aid in feedback for Dianna’s book and other writings

· Maintain social media reply’s and work with others on posting items to sites. Facebook, Instagram, Linked in and any others.

· Attend classes as requested

· Aid in financials as requested

· Aid in all projects as requested

· Maintain organization items currently in place

· Type and categorize all notes Dianna takes while on trips

· Work with Dianna on additional opportunities and future endeavors

· Additional tasks and responsibilities as discussed with Dianna

· Help prepare for Dianna’s travel

· Review all items from Dianna’s travel upon return

· Order Gifts as requested

· Send birthday cards monthly to family, friends and associates

Skills needed:

· Expert written and verbal communications

· Exceptional organizational and project management abilities.

· Proven record of success with system creation and implementation.

· Real Estate experience preferred yet not top requirement

Compensation:

· Paid Holidays, approved vacation time, and personal days

· Health Insurance not currently provided

· Pay is provided by direct deposit on 15th and 30th of each month

Job Type: Full-time

Pay: $52,000.00 - $80,000.00 per year

Benefits:
