Purpose of Job:

As the People Operations Coordinator, your primary responsibility will be to effectively manage our front desk while ensuring that we deliver remarkable customer service for candidates, guests, and employees. As the first point of interaction, this role plays a crucial part in ensuring the smooth functionality of our reception operations, while also supporting both our candidate and employee experiences in our Torrance office. The ideal candidate possesses a keen appetite for mastering various facets of the People Ops space, poised to carve their professional trajectory within the dynamic landscape of Divergent.

Essential Job Functions and Performance Standards:

Reception

•Establish a welcoming environment for employees and guests, delivering exceptional customer service and cultivating strong connections.

•Oversee the reception area with meticulous attention, ensuring its cleanliness and organization to uphold a professional ambiance.

•Effectively handle front desk responsibilities, including mail sorting and coordinating deliveries, with precision and efficiency.

•Exercise strict control over office access, meticulously tracking visitor badges and enforcing stringent security measures.

•Continuously assess operational processes, implementing enhancements to streamline front desk operations and maximize efficiency.

•Provide invaluable support by tackling ad-hoc administrative tasks with agility and dedication.

Talent Acquisition

•Orchestrate interview logistics, forging strong partnerships with hiring managers and the Talent Acquisition team to meticulously schedule interviews and coordinate travel arrangements. 

•Elevate the candidate journey through tailored communication, offering precise directions to the office, and adeptly managing logistical details to ensure a seamless experience. 

•Engage in strategic collaboration with the Talent Acquisition team to refine recruitment methodologies, driving enhancements that optimize processes and yield superior results.

Engagement

•Champion the company's culture as a dedicated ambassador, actively contributing to People Ops initiatives while providing unwavering support to both employees and guests.

•Proficiently handle employee inquiries, swiftly addressing concerns, and skillfully escalating issues to the relevant stakeholder for prompt resolution.

•Strategize and execute dynamic events that foster team unity, encouraging collaboration and cross-functional synergy among team members.

Requirements::

Experience:

•Experience working as a receptionist, preferably at a start-up company, or in a similar role with a high standard of customer service. 

•Experience working within a People Ops (HR) department supporting program administration.

Skills:

•Excellent interpersonal and communication skills, maintaining close communication with various key stakeholders.

•Ability to be flexible, adaptable, and maintain unwavering poise under pressure.

•Ability to communicate with all levels of the organization, as well as our valued clients and visitors.

•Ability to be agile, prioritize workload, balance multiple tasks at once with a solid attention to detail.

•Proficiency in Microsoft Office suite

•Experience with Lever or equivalent applicant tracking system (ATS)

Physical Demands:

•Must be able to remain in stationary position 95% of time. 

•The person in this position needs to occasionally move about the office and warehouse to execute work efficiently
