Description
Function(s):
Provide administrative assistance to staff within the Home and Community Based Services Division.
JOB RESPONSIBILITIES:
- Assist HCBS clinical staff members with requested tasks as appropriate.
- Schedule waiver services for members as directed by the CM/WSC and communicate with providers, members, caregivers and stakeholders.
- Contact members to confirm services have started as scheduled.
- Track and record general provider information for staff within the HCBS Division.
- Monitor and assist with Medicaid and Non-Medicaid Program referrals.
- Track and communicate to HCBS staff when member's transitions between programs.
- Monitor and track information on existing HCBS program reports and assist with creating new spreadsheets and tracking logs as requested.
- Assist Care Managers/WSC with scheduling long term services and supports for hard to staff members.
- Process facsimiles and mail as received.
- Perform data entry of member information into the appropriate documentation system.
- Assist with member by program reconciliation reports as needed.
- Scan and file documents into the appropriate documentation management system.
- Process disenrollments for Care Manager/WSC.
- Complete any additional assigned tasks to assist the HCBS department with meeting requirements for each program.
- Identify and implement LEAN process engineering activities.
- Participate in the development and implementation of the local performance culture.
- Exemplify the Agency 3C's corporate culture in all activities and interactions with staff, members, consumers, stakeholders as well as the community at large.
- Maintain minimum proficiency in all requisite computer applications and software.
- Participate in the implementation of strategic business and/ or operational plans, projects, programs and systems as appropriate for the objectives.
- Participate in and contribute towards accomplishment of divisional and Agency dashboard goals.
- Perform other tasks as assigned by supervisor.
Position Qualifications
Required:
- 1 year of relevant experience.
- High School diploma
- Intermediate experience with Microsoft Office programs including Excel, Outlook, Word and Access database use.
- 2 years of relevant experience in a related position.
- College Degree
This position requires its occupant to have the following abilities to successfully perform the essential functions of the job:
- Ability to effectively communicate with the elderly population and general public, both in person and by phone,
- Ability to comprehend written material related to essential job functions,
- Ability to accurately document facts related to essential job functions,
- Ability to operate a computer well enough to perform essential job functions,
- Ability to comprehend, recall, and apply facts related to essential job functions, and
- Ability to analyze, evaluate and implement a reasonable course of action based on available information.
- Ability to maintain professionalism and be flexible as changes occur.
