Program Reconciliation Manager – Meetings and Incentives

The Program Reconciliation Manager serves as a primary and expert resource regarding event solutions program reconciliation and the final stage in the program experience journey. This is a hands-on role, completing reconciliation documentation for key programs prior to financial audit by Program Accounting. In addition, the Program Reconciliation Manager is a key liaison with Program Operations, Finance, Program Accounting, Account Operations, and Business Development to ensure maximized revenue, data accuracy, and timely reconciliation delivery for all event solutions opportunities.

Expedition Expectations

  • Develop and continuously enhance the project management of event solutions program reconciliations.
  • Create and maintain standard operating procedures related to reconciliation, the final client journey phase in collaboration with Program Finance Accounting team.
  • Maintain a reconciliation tracker monitoring client project reconciliations are completed within 45 to 60 days of program travel dates, complying with respective Client MSA terms.
  • Project manage each opportunity reconciliation, holding team members accountable for delivery of approved supplier invoices and final program data based on the project’s critical path deadlines. Escalate issues to manager and director, when appropriate.
  • Be educated and understand our primary event solutions pricing methodologies (Cost Plus, Labor Based, Per Person, Package)
  • Accountable to ensure the pricing structure committed to in client agreement is properly applied to final reconciliation and we maximize all potential revenue.
  • Understand and adhere to all contractual obligations for each opportunity.
  • Assign reconciliation projects, in collaboration with the Project Manager leadership team.
  • Owns reconciliation projects for complex and high yield opportunities.
  • Audit all reconciliations to ensure accuracy of costs and to ensure revenue targets are met or exceeded.
  • Ability to work under pressure, prioritize and manage multiple tasks with proven problem solving/conflict resolution skills along with providing guidance to colleagues. 
  • Identify customer frictions and opportunities with Program Operations; spark cross-functional action plans to solve issues; maximize the use of customer feedback across channels and support the use of customer insights across the organization to meet and exceed customer needs and continually improve the customers’ experience.

Passport to Success

  • At least 7 years of Meeting Planning, Program Manager experience or industry-related equivalent
  • Bachelor’s Degree in, Hospitality, Business Administration, Marketing, or a related field or experience
  • Must be proficient in Microsoft Office, particularly Excel
  • In-depth knowledge of program operations in both domestic and international locations
  • Must be widely regarded as subject-matter expert in program operations and financial reconciliation
