Diocese of Palm Beach is Hiring a Property Accountant - Pastoral Center Near Palm Beach Gardens, FL

The Diocese of Palm Beach Pastoral Center located in Palm Beach Gardens, FL is searching for a full time Property Accountant.

Essential Duties and Responsibilities:

Real Estate Transactions and Database:

  • Create, enter and maintain files and file inventory on every Diocese owned property, parish property or entity property owned by the diocese.
  • Create and maintain “Transactions in Progress” and “Critical Date Summaries” with copies provided to all parties involved in the transaction.
  • Coordinate with the Superintendent of Buildings, Construction & Properties on all ongoing projects, transactions and events.
  • Act as liaison between Superintendent of Buildings, Construction & Properties, Finance Office, outside attorneys and Bishop’s Office for the proper completion and signature of all transaction documents pursuant to the diocesan “Transaction Approval Requirements.”
  • Enter and maintain all real estate transaction data in the Property Data System.
  • Coordinate and maintain link between Property Data System and Diocesan Accounting System.
  • Coordinate scheduling of all property appraisals with Diocese Appraiser. Reconcile entries in both systems. Processes draft appraisals for Pastors’ approval. Responsible for data entry of all approved changes.
  • Create, maintain all add/change/delete property forms and COPE reports on all properties and buildings required to keep the database current for Property and Liability.

Property Taxes:

  • Organize and maintain records of all real estate tax exemptions, proposals and petitions.
  • Maintain PCN table for all tax invoices for all counties.
  • Identify payer and distribute all tax bills, tax notices and assessments. Ensure that all ad valorem and non-ad valorem taxes are paid.
  • Communicate with Superintendent of Buildings, Construction & Properties on any unusual changes in proposed assessed valuations.

General:

  • Create and maintain files and file inventory on every diocese owned property, parish property or entity property controlled by the diocese.
  • Distribute Public Notices, Notices of Violation, land use and zoning changes and other real estate mail to the appropriate party with copy to the diocesan Superintendent of Buildings, Construction & Properties.
  • Create Use Agreements and Leases, update entity lessee / lessor (Licensor/Licensee) arrangements and contracts.
  • Keep current all agreements and insurance required in the agreements with the Director / Department of Insurance.
  • Attend diocesan Real Estate Committee meetings and prepare meeting agenda and minutes as necessary.
  • Attends Housing Board meetings. Takes and transcribes minutes, maintains records and provides general staff support.

Housing:

  • Liaison between Management Company and Real Estate Manager.
  • Scheduling of Housing Board meetings and preparing minutes from meetings.
  • Coordinating with auditors for Villa annual audits.
  • Archiving all housing and Villa minutes, audits and 990 tax returns.

Qualifications:

  • Business degree with course work in accounting and/or finance required and some course work in real estate preferred.
  • Five (5) years of experience in accounting, finance or real estate management,
  • Property and fixed asset inventory control experience helpful along with knowledge of depreciation methodology and capital budgeting techniques.
  • Knowledge of basic real estate terms and transactions, as well as property appraisals helpful.
  • Proficiency in MS Office Suite, including Word, Excel, Outlook, and Internet.
  • Excellent and professional telephone manner and interpersonal skills.
  • Ability to work effectively with Diocesan employees, departments heads, representatives of other agencies and the general public.
  • Ability to multi-task, work independently and make responsible judgment calls.
  • Adhere to the Diocese of Palm Beach Code of Conduct with emphasis on confidentiality and able to exercise discretion and good business judgment
  • Safeguard the integrity and confidentiality of all employee records
  • Strong organizational skills
  • Working knowledge of office equipment (phones, computers, printers, fax, scanner)
  • Reliable insured vehicle and ability to travel to locations within the Diocese of Palm Beach

Physical Requirements:

  • Occasional light lifting and carrying of under 15 pounds.
  • Occasional moderate carrying and lifting of 15 – 44 pounds.
  • Frequent use both hands and fingers (i.e. typing).
  • Frequent extended periods of sitting.
  • Occasional periods of standing, kneeling and climbing.
  • Occasional ability of minimal hearing (i.e. loud noises, sirens) and routine hearing (i.e. listening to others in conversation).
  • Occasional time spent working closely with others.
