Grants Assistant

School of STEM (Land Grant)

Tsaile Campus


Duty Schedule:

Must have flexible work hours to include early morning, evening or weekends. Primarily Mon-Fr 8-5pm.

Summary/Objective of Position:

Assist the Land Grant Director with review, reconciliation, process of documentation such as purchases, for day-to-day operation of all grant accounts. Some project management over extension projects within grant funded programs.


Description of Essential Functions of the Position

Provides day-to-day coordination for grants administrative operations including preparation and processing of travel authorizations, requisitions, engagement agreements, and consultant contracts, while maintaining a shadow book

Delivers technical support in response to purchase inquires, careful analysis and reconciliation of project expenses to ensure that payments, contracts, agreements, and reports are completed accurately and processed in a timely matter.

Maintains optimized workflows for event planning to support the departments outreach efforts.

Communicates with grantors, consultants, and other College staff, while upholding the standards for a professional, responsive, and problem-solving oriented grant management process.

Assist all LGO staff and interns with project planning, hosting meetings, moving planning discussion forward.


QUALIFICATIONS

Education & Experience


Knowledge:

Incumbent must have experience with grant proposal development, pre/post approval processes, budget set up experience.

Demonstrates systematic thinking with superior organizational skills and proven success in creating and maintaining efficient administrative processes.

Requires effective interpersonal skills to successfully interact with the departments constituency, fellow staff/interns, and all college employees.

Analyzes information and situations to define the problem or objective.

Prioritizes multiple projects in a busy environment accurately, efficiently, and with a high level of attention to detail, balancing and satisfying competing deadlines and personalities, maintaining professionalism under pressure and in sensitive and difficult situations.

Skills:

Incumbent must be proficient with Microsoft office programs, customer service skills,

Works independently and as a team member.

Tolerates paperwork and respect administrative procedures while remaining flexible and resilient

Understands when to ask questions and when to take initiative.

Has ability to learn quickly and have the willingness to assume tasks as needed.

Abilities:

Ability to exercise a high level of discretion and confidentiality in interactions with both internal and external people concerning all work-related information.

Physical Requirements, Work Environment & Travel:

Must be able to lift at least 50lbs
Travel to local sub-offices for meetings and/or supply deliveries
Travel to workshops/conferences
