About the Position

The Senior Project Associate will provide project management and business development support to the Governance Practice within Dexis' International Development Division with a focus on supporting our work with USAID. The Senior Project Associate will facilitate project activities with efficient operational, administrative, contractual, and financial support. The Senior Project Associate will work collaboratively with Dexis' project and headquarters teams, partners, and clients; communicate clearly; and develop and maintain positive relationships internally and externally in a flexible, dynamic work environment.This position will have the option of being based remotely.

Responsibilities

Project management

  • Lead administrative, contractual, operational, and financial tasks on assigned project.
  • Liaise directly with project team(s) and internal support units, including Contracts, Finance, Payroll, Human Resources, IT, and Recruiting teams; may help train project teams on administrative and financial procedures.
  • Manage electronic files and tracking systems to ensure compliance with Dexis policies and standard practices.
  • Draft client requests with minimal supervision.
  • Backstop Director(s) in support of client and partner engagement and coordination.
  • Review and finalize project reports and other deliverables for internal and external use, which may include copyediting and formatting.
  • Lead the management of procurements, subcontracts, and grants.
  • Help ensure compliance with Dexis processes, contractual requirements, and U.S. Government regulations.
  • Write scopes for and support management of partner subcontracts, subawards, and other agreements.
  • Independently identify and resolve problems, escalate as needed, and follow up to ensure resolution.

Finance

  • Prepare payment requests and documentation, including reviewing subcontractor and other invoices.
  • Review financial transactions and client invoices.
  • Track project budgets and expenditures; help prepare projections and support the maintenance of project budgets.

Personnel management/recruiting

  • In conjunction with project team and HR, recruit, screen, interview, and onboard project staff and consultants, including developing job descriptions and scopes of work, reviewing CVs, organizing interviews, and ensuring the communication of Dexis' policies and procedures.
  • Manage consultants for various project assignments including preparing and managing agreements, supporting travel and logistics, supporting mobilization and demobilization, and reviewing deliverables.

Business development

  • Support Dexis' business development efforts through roles of increasing complexity, including through research, editing and formatting documents and CVs, drafting past performance references or proposal annexes, supporting budget development, recruiting, and coordinating proposal teams.
  • Manage and coordinate small bid teams and proposals.
  • Research new business development opportunities in capture efforts.
  • Participate in external events and share notes with other team members.
  • Performs other duties as assigned.
Qualifications

Minimum Requirements

  • Bachelor's degree in international relations, political science, business, finance, or related field.
  • Minimum 1 year of relevant work experience.
  • Proficient in Microsoft Office products.
  • Understanding of USG procurement and compliance regulations.
  • Able to travel internationally on short term assignments.

Preferred Qualifications

  • Spanish and/or French fluency or working proficiency.
  • Experience working with diverse group of coworkers.
  • Previous experience with U.S. Government contracts (specifically USAID), including procurement of goods and services.
  • Skills in budget development and financial tracking using Microsoft Excel.
  • Familiarity with Dexis policies and systems.
  • Experience working in foreign countries, preferably Latin America.
