Job DescriptionTitle: Conference Production Specialist Reporting to: VP, Production Location: REMOTE. Preference for candidates in the Eastern and Central time zones HCEsquared is seeking an experienced Conference Production Specialist to work on our various annual dermatology medical education conferences. We are looking for an individual with strong experience focused on all aspects of conference planning such as working with hotel AV equipment, labor, internet and power needs, as well as production floorplans. Prior experience in healthcare and continuing medical education is a bonus. The EssentialsThis opportunity is only for those looking for a fast-paced startup environment. Up to 30% travel (approximately 7-10 conferences per year)
ResponsibilitiesOverall Production and Project Management:
Manage timelines and deadlines
Coordination with external vendors and internal stakeholders
Help fine tune SOPs and checklists
Budgeting and timelines
Internal status updates and tracking in project management software
Post-event reporting
Production Coordination
Coordinate technical and labor requirements with external AV vendor including seating and floor plans, scenic and production schedules
Prepare technical requirements including hotel AV, coordination of internet, rigging and power installation
Manage technical requirements for RFID, CVENT
Assist with preparation of in-person Run of Show, management of in-person assets, including speakers’ PowerPoint and video assets as well as digital signage
Collaborate with session moderators on scheduling and moderator slides and prepare best practices and SOPs
RequiredQualifications and Skills
4-year degree from an accredited institution
5 years of conference management
Demonstrated understanding and experience of technical and production aspects of conferences
Medical conference or medical education experience preferred but not mandatory
Proficient with Microsoft Word, PowerPoint, Excel and Outlook
Ability to manage a variety of events simultaneously
Ability to work during the evening and on weekends for coverage of live events when scheduled
