DePaul University is Hiring a Study Abroad Program Manager Near Chicago, IL

  • The Highlights:** Reporting to the Associate Director of Program Management, the Program Manager (PM) is responsible for successful program implementation of the faculty-led study abroad programs in their assigned program portfolio (typically 12-15 programs/year). The PM has a detailed understanding of the Study Abroad offerings in their assigned portfolio and makes critical decisions regarding their programs, while serving as the primary point of contact for faculty directors, students, and key stakeholders, including outside vendors and partners associated with program development and implementation. In addition to management of a portfolio of programs, the PM assists with other Study Abroad-related projects, including faculty training and development, student advising and orientation, DEI (diversity, equity, and inclusion) efforts, and marketing initiatives. The PM is involved with regular program assessment and assists with leading the second level of emergency response within the Study Abroad office. This position has both administrative and management responsibilities and plays a key role in ensuring the success of study abroad program implementation for both students and faculty.
What You'll Do**Program Management and Implementation**
ResponsibilitiesThe primary responsibility of the Program Manager is the overall organization, implementation, and operational success of the faculty-led study abroad programs in their assigned portfolio, as a member of the Program Management team. The PM actively participates and shares in team responsibilities, including:
  • Serves as the primary point of contact for any faculty and/or staff associated with study abroad programs in their portfolio, responsible for timely and successful creation of itineraries, logistical arrangements, student advising, marketing, communication, application management, financial and budgetary planning, course registration, program evaluations, etc.
  • Serves as liaison for external constituencies, including international partners, third-party study abroad providers, and vendors associated with each program.
  • Assists with training and development for faculty and/or staff leading study abroad programs, ensuring knowledge of best practices in the field of study abroad, including DEI initiatives.
  • Assists faculty leading programs to countries with travel warnings or safety concerns with adhering to and maintaining compliance with related university policies and protocol.
  • Works with faculty leading study abroad programs to ensure compliance with all policies, procedures, and requirements related to Study Abroad. Develops, with the Program Management team, protocols appropriate for study abroad programs which supplement existing university policies and procedures.
  • Assists with implementing procedures to identify, assess, initiate, and manage study abroad crisis responses, while ensuring ongoing monitoring for existing and potential crisis situations that may impact study abroad programs.
  • Works closely with all program stakeholders to understand and interpret program goals (e.g. academic goals, intercultural competency goals, operational goals, meeting needs of specific student groups), assists with program assessment to measure program success, and makes recommendations to improve program implementation and better serve students.
**Program Development**
The Program Manager, together with the Associate Director of Program Management and Director, provides consultation to colleges, academic units, and faculty in strategizing new faculty-led program development, based on trends and best practices, with consideration to university goals and practices, while emphasizing access to students traditionally underrepresented in study abroad.
**Additional Study Abroad Responsibilities**
The Program Manager will be have selected additional areas of responsibility, in both leadership and support roles, related to the operation of the Study Abroad office and the services provided to its stakeholders. Areas of responsibility may include, but are not limited to: scholarships, marketing, website & database management, DEI (diversity, equity, & inclusion), assessment, training & development, special events, student support services, and management of student peer advisors. The Program Manager may have a supervisory role with respect to one or more student peer advisors, to be determined in coordination with the rest of the Program Management Team.
What You'll Need
  • Bachelor's degree
  • Two years experience in higher education administration, including some study abroad and/or international education
  • Knowledge of program models, best practices, concepts, and procedures within the field of study abroad, including diversity, equity, and inclusion
  • Excellent writing, editing, communication, presentation, and interpersonal skills
  • Demonstrated leadership and project/program management skills
  • Must be able to set and meet deadlines and motivate others to do so
  • Must be committed to collaborative teamwork style and diversity in the workplace
Preferred Skills
  • Experience working successfully with faculty and/or faculty-led study abroad programs
  • Foreign language proficiency and/or international work/living experience
  • Terra Dotta and/or PeopleSoft
