Summary THIS IS A NATIONAL GUARD TITLE 5 EXCEPTED SERVICE POSITION. This National Guard position is for a PROJECT ASSISTANT (TITLE 5), Position Description Number T0041000 and is part of the IL MILPO, National Guard. Responsibilities As a PROJECT ASSISTANT (TITLE 5), GS-0303-6/7, you will serve as the Project Assistant responsible for providing program/project operational support to the assigned office in the accomplishment of the organizational mission, vision, goals and objectives. Major Duties - This is NOT an all-inclusive list: Review, interpret and apply administrative guidelines applicable to project operations. Compile and maintain information and statistical data to prepare various recurring and non-recurring reports on operational and administrative matters. Research files and contacts appropriate personnel for data; formulates reports and facilitates transmittal. Review e-mail and office calendar; engage office personnel to deconflict workloads, schedules, and leave, ensuring meetings, inspections and events are properly covered. Perform work related to the practical and technical aspects of office administration assistance for projects/programs including issues related to budgeting, supply management and purchasing, personnel administration, time keeping, data processing, project tracking and files management. Work requires an in-depth understanding of the organizations mission and how the functional areas interrelate along with a broad understanding and procedural knowledge of budgeting, purchasing, personnel and information processing so that the incumbent can perform duties and advise on how to apply budgeting, purchasing, personnel and information processing procedures. Collect data for office operations, analyze the data, set up controls to monitor them and independently troubleshoots as needed. Prepare a variety of written correspondence (i.e., emails, and memorandums), guidance, reports, program direction and/or policy letters for dissemination to other offices within the organization. Prepare presentations and spreadsheets or assist others with presentation preparation and recommends improvements to ensure a clear, concise presentation. Prepare a variety of correspondence from rough draft or clean copy with responsibility for format, grammar, accuracy, and conformity to all applicable guidance and administrative procedures of the organization. Coordinate with support entities such as logistics and information technology in order to arrange and execute presentations, classes, and other events hosted by the office. Requirements Conditions of Employment Federal employment suitability as determined by a background investigation. May be required to successfully complete a probationary period. Participation in direct deposit is mandatory. This position is covered by the Domestic Violence Misdemeanor Amendment (30 Sep 96) of the Gun Control Act (Lautenberg Amendment) of 1968. An individual convicted of a qualifying crime of domestic violence may not perform the duties of this position. Irregular and/or overtime (compensatory) hours may be required to support operational requirements or contingencies or may be required to work hours outside of the normal duty day. This position is designated as Essential Personnel and may be subject to duty in preparation for, or in response to, a state emergency or disaster declaration. This designation will not exceed 14 calendar days per year unless otherwise approved in advance by the TAG. Position is a Time Limited Appointment not to exceed 4 years. Recruitment and relocation incentives may be available for this position. Qualifications GENERAL EXPERIENCE: MUST possess experience, education, or training which indicates progressively responsible clerical, office, or other work that indicates ability to acquire the knowledge and skills needed to perform the duties of the position to be filled. One year of specialized experience equivalent to the lower grade level in the Federal service in order to be considered for this position. SPECIALIZED EXPERIENCE: GS-7 Level MUST possess at least 1-year equivalent to at least the next lower grade level; experience preparing a variety of written correspondence, guidance, reports, and policy letters; experience preparing presentations and spreadsheets; experience compiling and maintaining informational and statistical data; experience in research.GS-6 Level MUST possess at least 1-year equivalent to at least the next lower grade level, experience in a developmental capacity and with additional training, guidance, and/or direct supervision, provide administrative and clerical support to the Project Coordination Specialist and support staff; experience with written correspondence; experience preparing presentations and spreadsheets. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment.
