Denver Botanic Gardens is currently seeking a Full Time Public Events Production Coordinator in our Events Department! Read below to see if the requirements might be a good fit for you:

Position Summary

The Public Events Production Coordinator provides technical and administrative support in the preparation, install, strike, and execution of all public events at York Street. Key responsibilities include providing technical and design support as directed; creating diagrams, drawings, and maps; supporting logistics surrounding storage, inventory, and equipment maintenance; updating and maintaining pricing and settings in POS system for onsite sales; processing payments and maintaining event budget spreadsheets; ordering and receiving supplies; executing event shifts as assigned. Must maintain a flexible work schedule to accommodate morning, evening, some holiday, weekend work, and on call responsibilities throughout the year.

Requirements

General Duties and Responsibilities

  • Develops & designs technical features as directed by management, with duties including but not limited to: gathering quotes, creating layouts, diagrams or scale drawings, drafting proposals & cost estimates, sourcing or creating sound effects, props, or scenic elements, designing light plots, etc. 
  • Operates power tools or heavy machinery, including but not limited to: table saw, band saw, circulating saw, jig saw, drill, electric pallet jack, or scissor lift. 
  • Completes production efforts (lighting, sound, carpentry, painting, scenic elements, etc.) as assigned. 
  • Leads crews of install/strike teams for lighting, sound, and décor features as directed. 
  • Performs audio-visual/technical production duties including but not limited to setting up iPads, sound equipment, lights, etc.
  • Updates and maintains pricing and settings in POS system for onsite sales. 
  • Creates cashier training documents & leads cashier training for POS system.
  • Serves as primary cashier lead during plant sales.
  • Maintains an inventory of equipment and supplies & repairs equipment as needed.
  • Supports production of plant sale signs.
  • Prepares for and executes offsite storage moves throughout the year.
  • Ordering, receiving, and tracking supplies for all events.
  • Develops and maintains safety data sheets for events department production equipment. 
  • Process invoices and maintain event budget spreadsheets.
  • Organizes event supplies in collaboration with other team members.
  • Attends and takes notes for a variety of event meetings. 
  • Develops and maintains project plans in department project management software to track progress, instructions, and status updates.
  • Completes assigned duties for setting up, staffing, and tearing down all public events. 
  • Occasionally makes trips offsite for departmental needs.
  • Evening and weekend work is required, including on call responsibilities.
  • Regular attendance at the worksite may be required. As with all positions at Denver Botanic Gardens, the incumbent must be in good performance standing to be eligible for remote work. Remote work is at the discretion of management at all times.

Position Qualifications: Knowledge, Skills, and Abilities

  • Must be a reliable self-starter with problem resolution skills. 
  • Must be a self-motivated team player with the ability to meet deadlines and approach projects proactively.
  • Must be able to maintain confidentiality of information. 
  • Ability to effectively present information and respond to questions from groups of managers, customers, and the public. 
  • Must be detail oriented and flexible. 
  • Must be comfortable operating ladders, electric pallet jacks, golf carts, power tools such as drills, hand tools, handheld saws, etc.
  • Knowledge of electrical systems for lighting and sound installations preferred. 
  • Mechanical aptitude preferred.
  • Basic skills in theatrical carpentry, prop-making and scenic painting a plus.
  • Must be able to complete highly physical labor multiple days in a row outdoors in a variety of weather conditions.
  • Must be physically able to work on hands and knees, as well as at heights from ladders.
  • May be asked to wear a respirator on painting days.
  • Must be able to lift and maneuver up to 50 pounds on an occasional basis. 
  • Aptitude to learn and use software programs such as Wrike, Figma, Sketch-up, Adobe Creative Suite, Talech, and Social Tables required. 
  • Ability to manage and organize multiple events and priorities at the same time in a fast-paced dynamic environment. 
  • Must be comfortable driving trucks up to 26’ in length.
  • Knowledge in basic accounting preferred.
  • Must be comfortable working in an open office environment. 
  • Must have proven excellent customer service, interpersonal, and communication skills in dealing with the public.
  • Ability to maintain stability under pressure and able to deal well with stressful situations.
  • Ability to be flexible and willing to modify plans, when necessary, throughout the day.
  • Ability to work a flexible schedule, including evenings, weekends and/or holidays.
  • Knowledge of Microsoft Suite products, specifically Word, Excel and Outlook and Teams.
  • Ability to work overtime as necessary.
  • Must be a positive representative of the Gardens both internally and externally at all times.
  • Must work with respect and cooperation at all times with fellow employees and the public.
  • Must be committed to working safely at all times.

Experience/Education:

  • High school diploma / GED and/or combination of education and equivalent experience is required. 
  • Minimum of 2 years of experience in theatrical production (stage management, production management, lighting, sound, carpentry, or scenic painting), audio visual production, or event management is required. 
  • Position requires a valid driver’s license.

Travel:

Up to 25% travel required. Requires the ability to travel to remote locations (or other Garden locations) where environment may vary significantly.
