Duty Days: 220 days per year


Primary Purpose:

Under the general supervision of the Executive Director of Special Education, the Special Education Resource System (SERS) Aide supports the Special Education Department in managing special education and special programs records.


Qualifications:

Education and Certification

  • High school diploma or equivalent


Experience

  • Campus registrar experience preferred
  • e-School Plus, e-Sped and/or Laserfiche experience preferred
  • Diagnostician clerk/case-management aide experience preferred


Special Knowledge and Skills

  • Excellent organizational, communication (written and verbal) and interpersonal skills
  • Maintain professional communication and customer service skills at all times
  • Proficiency with MS Office and Google Workspace
  • Ability to exercise good judgment in handling confidential information
  • Ability to meet established deadlines and multi-task in a fast-paced environment
  • Proficient keyboarding, file maintenance, and 10-key
  • Bilingual (Spanish speaking) preferred


Major Responsibilities and Duties:

  • Access student information in district software programs, including PEIMS software.
  • Reviews checklist from case-management aides to ensure IEP/FIE documents are submitted with completeness.
  • Performs routine audits of student eligibility folders to ensure compliance with federal, state and local special education laws.
  • Maintains student electronic eligibility file and uploads documents within prescribed timelines.
  • Manages and maintains student records in electronic eligibility files in prescribed order.
  • Manages and maintains an inventory of student special education eligibility records, including (records series, retention period, destruction date and status.
  • Maintains current knowledge of federal, state, and local special education eligibility records requirements.
  • Fulfills and manages records requests from campuses, parents and agencies within timelines.
  • Communicates with outside agencies (hospitals, doctors, probation offices, social security administration, local education agencies, parents) as well as from the special education attorney on retainer to upload/send requested special education records.
  • Uploads special education records for high-profile legal records requests from attorneys.
  • Collaborates with campus registrars to process special education and special program records as requested from TREX records requests.
  • Maintains professional relationships with case managers, case-management aides, and other personnel.
  • Alerts immediate supervisor of problems with records or records requests.
  • Assists all district employees with procedures related to student eligibility records.


Other Related Duties:

  • Follows district safety protocols and emergency procedures.
  • Participates in professional development, department meetings, and special events as assigned.
  • Performs other duties pertaining to records as assigned by Executive Director of Special Education or immediate supervisor.

Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Lifting: Occasional light lifting and carrying (less than 15 pounds)

Environment: May work prolonged or irregular hours; may require occasional district-wide and statewide travel

Mental Demands: Work with frequent interruptions; maintain emotional control under stress
