This role is designed for an individual who thrives in fast-paced environments and is comfortable shifting focus as business needs evolve. Whether it's managing files, coordinating communication,

handling reconciliations, or stepping into new roles and responsibilities, the ability to adapt and learn quickly is essential.
Key Responsibilities:
  • Adaptive Support: Flexibility to take on new challenges as they arise .
  • File Management: Organize and maintain files and records with efficiency and confidentiality
  • Communication: Act as a primary point of contact for internal communications with managers and leaders, ensuring clear and effective communication across different levels of the organization .
  • Presentation Creation: Develop and design presentations for executives & internal teams across various departments, ensuring information is presented clearly and aesthetically .
  • Documents and Organization: Manage and organize documents, employee files, and lease agreements, ensuring al l documents are up to date and accurately filed .
  • Operational Duties: Conduct daily deposit reconciliation, manage inventory, and perform other reconciliations with the willingness to learn and manage new operational tasks as needed .
  • Utility and Expense Negotiation: Oversee and negotiate utility bills and other expenses to ensure cost-effectiveness and efficiency .
  • Interview Coordination: Set up phone screen interviews, coordinate schedules, and screen candidates for various positions to support the hiring process .
  • Proactive Problem Solving: Anticipate needs and propose solutions to streamline processes and improve operational efficiency.

Qualifications:

  • Proven experience in an administrative or operations role, with a strong emphasis on organization and communication.
  • Exceptional organizational skills and attention to detail.
  • Strong communication abilities, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Ability to multitask and prioritize tasks efficiently.
  • Experience in negotiating and managing expenses is a plus.
  • Ability to handle confidential information with discretion.
