Education:

  • High school diploma or general education degree (GED)

Essential Experience:

  • High school graduate or GED program preferred.
  • Knowledge of and proficiency in computer programs, i.e. Microsoft word, excel, adobe, and experience with database management.
  • Knowledge of principles and practices of basic office management.
  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping.
  • Demonstrate a high degree of skill in problem solving and working effectively with people.
  • Ability to maintain filling systems and company documentation.
  • Ability to communicate effectively (written and verbal)
  • Experience in office/clerical/administrative assistant position preferred.

DUTIES AND RESPONSIBILITIES:

  • Answer and direct calls.
  • Check patients in upon arrival.
  • Collect and post copayments, deductibles and/or coinsurance in EMR.
  • Input new patients in Clinic Source
  • Check and ensure that progress notes are input in system by end of every week.
  • Assist with intake process as needed and assigned to include but not limited to following up on orders, calls, updating boards, pending therapist requests.
  • Assist with translation and scheduling
  • Assists in maintenance of electronic and hard copy filing system.
  • Assist with insurance verification
  • Fill and maintain patients’ medical records.
  • Fill in in the absence of any employee and perform their duties as able
  • May occasionally perform medical biller duties such as running weekly reports, following up with insurance companies, auditing charges, medical billing, handling pre-authorizations & referrals
  • Coordinate the maintenance of office equipment.
  • Perform other duties as assigned by administrator, alternate administrator and/or office manager.
  • Report any misconduct, suspicious or unethical activities to the Compliance Officer.
  • Oversee the billing activities of the pharmacy, including but not limited to verification of coverage, communicating with third party payers and with patients, resolving complaints and discrepancies, efficient management of information and accurate record keeping.
  • Oversee the collections activities of the pharmacy, including but not limited to processing payments, resolving complaints and discrepancies, accurate and timely bookkeeping, and other activities of the Accounts Receivable department.
  • Generate and analyze financial reports on reimbursement and provide these reports to supervisor.
  • Monitor operating budget of the department and adjust as needed.
  • Ensure the implementation of processes to measure, assess, and improve the performance of the reimbursement activities of the pharmacy.
  • Develop, review, and suggest changes to reimbursement policies and procedures as needed.
  • Ensure ongoing compliance with all laws and regulations; ensure that the department meets or exceeds accreditation standards; and implement ‘’best practices’’ in all departmental activities.
  • Delegate authority as necessary to ensure that all responsibilities of this position are fulfilled in a timely and accurate manner.
  • Participate in surveys conducted by authorized inspection agencies.
  • Participate in the pharmacy’s Performance Improvement program as requested by the Performance Improvement Coordinator.
  • Participate in pharmacy committees when requested.
  • Participate in in-service education programs provided by the pharmacy.
  • Pursue continuing education programs appropriate to job responsibilities.
  • Perform other duties as assigned by supervisor.

Physical Demands/ Environmental Factors:

  • Ability to sit for long periods of time.
  • Must have a current driver’s license and auto insurance.
  • Ability to talk on the phone extensively.
  • Ability to bend, lift, pull and push at least 25 lbs.
  • Must have the visual ability to prepare, analyze and transcribe data and figures.
  • Ability to read extensive use of computer screens.
