Delau Fire Services is Hiring a Scheduling Coordinator Near Lansing, MI

COMPANY PROFILE

DeLau Fire Services is a fire protection and life safety company. DeLau Fire installs and services fire protection/life safety systems; completes repairs, renovations, and new construction projects in a range of facilities: Offices, Industrial, Hospitals and Extended Care, Schools/Universities, Government, Commercial Retail, Military, and Residential Apartments. We also provide carbon dioxide cylinder hydrostatic testing, refilling, and delivery for restaurants, bars, and welding facilities.

JOB SUMMARY

The Scheduling Coordinator organizes the schedules of multiple technicians within the company. The position also has receptionist and clerical tasks. This position requires a friendly and professional demeanor, as well as the ability to multitask in a fast-paced environment.

DUTIES AND RESPONSIBILITIES

1. 60% Scheduling

  • By using geographical routing, contacts existing commercial customers in need of maintenance or repairs and schedules the appropriate technician who is skilled in the needed trade.
  • Adjusts schedules as needed if a job is taking longer than expected or is quicker than expected by making phone calls to customers in need of service.
  • Daily updates in the customer database to reflect the completed maintenance and repairs.
  • Daily data entry in QuickBooks to generate and distribute an invoice to the customer.

2. 20% Receptionist

  • Providing excellent customer service, performs general receptionist duties.
  • Answers a multi-line telephone and redirects calls, as necessary.
  • Greets visitors and handles inquiries.
  • Processes outgoing mail and sorts and distributes incoming mail.

3. 20% Clerical

  • Creates documents, forms, and invoices for management, as needed.
  • Assists with office management and accountant tasks.
  • Scanning and filing documents.
  • General office upkeep.

MINIMUM REQUIREMENTS

Experience: One to three years of related and progressively more responsible or expansive work experience in a professional office setting, performing receptionist and clerical duties, including experience with scheduling, data entry, office machines, email and internet usage; experience in word processing, spreadsheet, database, and calendaring.

REQUIRED SKILLS

  • Familiarity with geographical routing.
  • Strong attention to detail and accuracy in all work performed.
  • Strong communication skills, both verbal and written
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Problem-solving abilities and adaptability in a fast-paced environment.
  • Strong computer skills and proficiency in Excel, Word, and Outlook.
  • Proven ability to work collaboratively.
  • Ability to follow instructions and to be able to work independently when needed.
  • Ability to coordinate projects and prioritize tasks efficiently.
  • Expected to maintain a professional demeanor.
  • Ability to meet deadlines.
  • Dependable and reliable.

DESIRED SKILLS

  • Knowledge equivalent to that which normally would be acquired in the first two or three years in college, technical school or related field.
  • Previous experience in scheduling.
  • Previous experience working as a receptionist or in a customer service role.
  • Familiarity with office equipment and multi-line office phones.
  • Experience with database systems and QuickBooks.

Job Type: Full-time

Pay: $18.00 - $22.00 per hour

Expected hours: 40 per week
