DEFENSEWERX (DWX) is a neutral facilitator and trusted partner, connecting an international network of individuals, businesses, educators, and government organizations to enable creative and integrated solutions for our Department of Defense (DoD), Department of Homeland Security (DHS), Department of Energy (DOE), and Intelligence Community partners. DWX is headquartered in Niceville, Florida with innovation hub sites across the United States.

Role:

A DEFENSEWERX Hub in Tampa, FL is looking for a motivated, organized, and self-directed Assistant Project Manager to join the team and provide a variety of administrative duties to help complete projects on time and within budget. The Assistant Project Manager will engage in programmatic work and execute administrative tasks for partner management and coordination.

The ideal Assistant Project Manager will be a proactive problem solver with exceptional communication skills and demonstrate meticulous attention to detail. They will have an ability to be resourceful, maintain a solution-oriented outlook, and work efficiently, collaboratively, and independently. They will multi-task while still adhering to deadlines and without sacrificing quality of work. This role is best suited for someone who enjoys learning and growing in a fast-paced organization.

Responsibilities:

  • Reports directly to the Senior Program Manager in Tampa, FL.
  • Works in a combination of remote and in-person settings. 
  • Works closely with a small team (>10) that takes an all-hands-on-deck approach to day-to-day tasks. 
  • Composes informational collateral to showcase completed projects, capabilities, and/or successes.

The Assistant Project Manager’s primary responsibilities include, but are not limited to the following:

A. Communication:

  • Provide administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the Program Manager and/or Team’s behalf.
  • Makes independent decisions with regard to their specific job duties. Seeks guidance on decisions outside work scope.
  • Collaborate with the team to develop and maintain captivating marketing collateral such as data visualization graphics, presentations, brochures, and website content.
  • Professionally respond to emails and answer phone calls
  • Prepare and/or proofread agreements and other documents

B. Documentation:

  • Maintain comprehensive and accurate records such as personnel, institutional, and historical confidential documents
  • Demonstrate proficiency in the use and application of all project management technology as required for assigned projects.
  • Assist with scheduling and transcribing business and project meetings
  • Organize data from various databases for internal and external distribution
  • Compile and analyze data/information, evaluate, and summarize findings to support the production of quarterly and annual reports
  • Assist in the development and maintenance of standard operating procedures that impact the administrative operations

C. Administrative Support:

  • Assist the Director and Senior Program Manager with scheduling meetings, events, and travel
  • Identify potential performers by leveraging technology scouting techniques
  • Assist with maintaining and updating various types of inventories
  • Draft invoices to process payments
  • Assist in ordering office and program supplies
  • Perform other related duties and participate in special projects as assigned

Requirements and skills:

  • Must be a U.S. Citizen 
  • Must be able to obtain and maintain a secret DoD Security Clearance 
  • Must be willing and able to work in a dynamic, rapidly changing environment 
  • Maintain professional attitude with well-developed interpersonal and communication skills (both oral and written) 
  • Must be experienced in Microsoft Office Applications including, Word, Excel, PowerPoint, Outlook, and SharePoint, as well as videoconference systems 
  • Strong time-management skills and the ability to organize and coordinate multiple projects at once 
  • Able to anticipate needs and preferences 
  • Demonstrated diligence, as well as attention to detail and accuracy 
  • Knowledge of general office practices and procedures 
  • Able to define problems, collect data, establish facts, and draw valid conclusions 
  • Ability to analyze and interpret general financial reports, business periodicals, professional journals, technical procedures, or government regulations 

Education and Experience:

  • Bachelor’s degree in related field or six years of related experience. 

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer 
  • Must be able to lift 35 pounds at times
