DecoPac, Inc. is a high growth, high energy company that designs, markets and distributes the most popular cake decorations and bakery supplies in the bakery industry. Located in Anoka, MN we work with licensors and brands to produce, sell and distribute our products to supermarkets, retail bakeries, and ice cream stores throughout North America.

Summary:

DecoPac is looking for a high caliber, proactive Sales Administration Supervisor to provide vital support to the sales team and key accounts. Based out of our Anoka, MN office and reporting directly to the Director of Sales Operations and Administration, this role requires day-to-day support and coordination with the DecoPac Anoka Headquarters team to follow through on customer needs. The Sales Administration Supervisor will oversee the administration functions of the sales department. You will be responsible for executing sales strategy and enable success of the sales organization by delivering exceptional support and leadership of selling activities. A quick thinker, your flexibility and adaptability are key to constantly changing demands and priorities. The ideal candidate is energetic, efficient, and capable of multi-tasking in a lively fast paced environment.

Responsibilities:

  • Manage and lead the sales administration team, including providing day-to-day work direction, sharing performance feedback, giving recognition, and communicating effectively.
    • Build and maintain a well-educated and informed sales administration team to act as resources that "force multiply" the effectiveness of the sales rep.
    • Supervise the sales administration team as they perform a number of duties focusing on customer satisfaction and coordinating customer projects. Their tasks range from coordinating automatic distributions (high volume product orders), quoting net pricing, and updating vendor forms. They also act as a liaison among customers, sales reps, and other departments to solve problems as they arise.
    • Foster a diverse workplace that enables all participants to contribute to their full potential in pursuit of organizational objectives.
    • Provide leadership, coaching and support on day-to-day tasks for admin staff.
    • Manage schedules and approve time records accurately by established deadlines.
  • Strong, professional verbal communication skills are required. This role interfaces via phone with customers regularly throughout the day. They must be able to listen and anticipate customer's needs and meet their expectations as well as identify and elevate issues rapidly.
  • Collaborate and establish strong working relationships with all internal departments including Product Development, Marketing, Design & Development, Finance, Customer Service and Procurement to address customer needs and identify opportunities.
  • Assist Sales Manager(s) with projects as needed. Including, but not limited to:
    • Respond to all customer requests, inquiries and feedback in a relevant and timely manner, independently and in coordination with the Sales Manager(s). In some cases, serve as the primary internal contact for key customers and distributors.
    • Provide assistance to Sales Directors and National Account Managers by producing presentations, letters, memos, reports, spreadsheets and general administration for the Sales Department.
    • Provide product and process information along with marketing materials to aid in selling DecoPac products.
    • Build customer presentations based on objective/agenda topics provided by the Sales Managers.
    • Create and submit item set-up sheets for new product presentation and manage accordingly any changes on authorized list, prices, UPC, pack/size, etc. within the customer's system.
    • Provide product, promotion, and pricing information; selecting appropriate information; forwarding information; answering questions.
    • Manage custom request process for specific requests by accountable accounts.
    • Assist in developing key account strategic plans with Sales Manager.
    • Manage projects to fulfill customer requests by utilizing established processes. Recommend changes and updates, and document them accordingly, to maintain the highest level of support to customers.
  • Document customer activity utilizing CRM (Microsoft Dynamics) to establish contact history, customer initiatives/opportunities, and to schedule future and on-going follow-up with the customer.
  • Promote a positive attitude and participate as a team player.
  • Update job knowledge by participating in educational opportunities.
  • Provide backup support for coworkers when appropriate and actively support group goals.
  • Report any food safety concerns to Supervisor for resolution, including a food package that is open to the food for any reason.
  • Perform other duties as assigned.

Qualifications:

  • Associate's degree or 5 years of combined project and sales support experience.
  • Excellent leadership skills to motivate sales administrative professionals to reach all company objectives on time and budget.
  • Vision and leadership skills required to drive change across sales organization.
  • Strong knowledge of Project Management.
  • Ability to self-motivate and work independently, but also bale to collaborate and work well within cross-functional teams.
  • Passion for the business and a strong sense of urgency with thorough follow-up.
  • Outstanding communication and interpersonal skills (including written and verbal).
  • Ability to effectively address day-to-day operational issues while staying focuses on long-term objectives.
  • Strong critical thinking, problem solving and time management skills with proven decision-making skills.
  • Great organizational skills with the ability to handle multiple projects at one time - very detail oriented.
  • Must possess high aptitude for understanding and utilizing technology within business including Microsoft Windows applications such as Word, Excel, PowerPoint, and Outlook as well as Web Query and the i5 Series.
  • Experience with Webinars, video conferencing and conference calls.
  • CRM (Microsoft Dynamics) experience a plus.
