What you'll be doing :

• Planning, organizing, and managing all resources to ensure the seamless functioning of the front desk area.
• Scheduling all meeting areas and facilitating catering orders as required.
• Receiving and distributing all office mail and deliveries in a timely manner.
• Coordinating daily / weekly cleaning of offices and scheduling cleaning of typical maintenance areas, i.e. carpet, glass.
• Assisting with new vendor set-ups and insurance certificates.
• Assisting with maintenance of Procore job files.
• Researching and ordering monthly Wednesday Team Lunches to meet budget requirements.
• Announcing anniversaries, birthdays, and special occasions on Viva Engage.
• Ensuring timely procurement of all office supplies while being mindful of budget.
• Assisting with the coordination and supervision of office-related maintenance (HVAC, electric, landscaping).
• Learning and applying DeAngelis Diamonds SOP’s, standard operating procedures, to your work.

What you need for this position :

• Commitment to provide a positive experience for everyone you connect with, including but not limited to clients, design professionals, subcontractors, and team members.
• Entrepreneurial team player who can multitask.
• Proficient computer skills in Microsoft Office Suite, Box, Bluebeam, Zoom, and multi-line phone systems.
• Passionate about learning and applying new technologies, concepts, and innovative solutions.
• Proficient with office-related equipment such as projectors, iPads, and copy equipment.
• 2 years of experience in a similar role with a high emphasis on relational communication.
• Associate's degree in Communication or Business Management preferred.
• Notary Public (within 30 days)
• Strong personal integrity and has the highest ethical standards.
• Able to function in a positive, friendly, friendly, high-energy, and collaborative environment.
