Full job description

We are seeking an experienced Executive Personal Assistant to support an individual based in Danville, CA. This role requires exceptional organizational skills, impeccable attention to detail, and the ability to thrive in a fast-paced environment. The ideal candidate will be proactive, resourceful, and capable of managing multiple priorities with efficiency and discretion. The role is an assistant and business PA in one, work from CEO home office and company office in Danville and from home time to time help with Real Estate matters, help with Restaurant matters help with Home matters pickup and drop off dry cleaning schedule meetings attend meetings take notes and make a task list and delegate to whom. Be ready to travel domestic and international sometimes with or without the CEO. Arrange travel and hotel and other reservations. $90k starting base salary hours are more than full-time and as needed as the CEO works variety of hours.

Responsibilities:

  • Manage calendar and schedule appointments, meetings, and events.
  • Arrange travel accommodations, including flights, accommodations, transportation, and itinerary planning.
  • Handle administrative tasks such as filing, expense tracking, and correspondence.
  • Run errands as needed, including but not limited to grocery shopping, dry cleaning, and package shipping.
  • Liaise with executive team members, clients, and other external personnel on behalf of the individual.
  • Assist with packing and unpacking for travel, ensuring all necessary items are prepared and organized.
  • Step into Personal Assistant duties when the primary Personal Assistant is unavailable, ensuring continuity of support.

Requirements:

  • Proven experience as an Personal Assistant or similar role
  • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
  • Excellent communication skills, both written and verbal and texting, with a professional demeanor.
  • Strong attention to detail and problem-solving abilities.
  • Discretion and the ability to handle sensitive information with confidentiality.
  • Proficiency in Google and Microsoft Office Suite and other relevant software.
  • Availability to work the CEO's home in Danville, CA
  • Travel to and from meetings in person, or to gather information from City/County etc offices.
  • Travel for work within the United States and abroad.
  • Act as the point of contact between the manager and internal/external clients
  • Screen and direct phone calls and distribute correspondence
  • Produce reports, presentations and briefs
  • Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company.
  • Sustain a daily calendar of meetings and events.
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization.
  • Arrange travel and accommodations for executives. Prepare expense reports.
  • Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
  • Excellent communication and time management skills; proven ability to meet deadlines.
  • Ability to function well in a high-paced environment; performs additional duties as assigned by executives.
  • Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with
  • Manage the Executive's contacts
  • Assist in preparing and managing presentations and decks.
  • Be responsive to emails/texts/phone calls, with contact outside normal business hours
  • Welcome the Executive’s guests by greeting them, in person or on the phone; answering or directing inquiries.
  • Use discretion, confidentiality, and good judgment to handle C-Level matters.
  • Represent the company and the Executive in a positive light through great follow-through skills and sound judgment.
  • Conserve the Executive's time by reading, researching, collecting and analyzing information as needed, in advance.
  • Complete adhoc projects as assigned – such as personal events and/or family needs.
  • Organize complex calendars and schedules; resolving any scheduling issues
