Responsibilities:

• Review invoices for accuracy, completeness, and compliance with company policies, processing a high volume meticulously.
• Code invoices accurately and route them to respective managers for approval, ensuring adherence to project budgets and timelines.
• Approve invoices for import into the accounting software and manage payment distribution promptly and accurately.
• Ensure compliance with sales and use tax regulations across multiple states and localities, researching and maintaining records diligently.
• Oversee company credit cards, transactions, and reconcile statements regularly, identifying and resolving discrepancies.
• Handle integrated payables, positive pay, wires, and ACH management for assigned bank accounts, ensuring financial security and accuracy.
• Establish and maintain vendor accounts accurately, promoting positive relationships and effective communication.
• Manage vendor tax status, lien waivers, and certificates of insurance, maintaining up-to-date documentation.
• Respond promptly and professionally to vendor and internal inquiries, maintaining a high level of customer service.
• Reconcile vendor statements and resolve discrepancies efficiently to ensure timely payments and maintain positive vendor relationships.
• Prepare year-end reporting requirements, including 1099 forms, accurately and in compliance with regulatory standards.
• Perform other duties as requested by the Vice President of Finance, contributing to the overall success of the accounting department and the company.

Qualifications and Experience:

• Associate degree in accounting, Finance, or related field preferred.
• 0-2 years of experience in accounting roles, with a proven track record of accuracy and efficiency.
• Proficient in Microsoft Excel.
• Excellent verbal and written communication skills, with the ability to communicate effectively with internal and external stakeholders.
• Strong organizational skills, attention to detail, and the ability to prioritize and meet multiple deadlines.
• Execute standard accounting policies and familiarity with government regulations and tax requirements.
• Ability to work independently and collaboratively within a team, demonstrating initiative and problem-solving skills.
