We are seeking an Operations Administrative Support to join our team! You will perform clerical and administrative functions in order to drive company success.

Responsibilities:

  • Draft correspondences and other formal documents
  • Answering phones and responding to client requests and inquiries.
  • Managing and updating company databases.
  • Keeping track of inventory and ordering supplies.
  • Maintaining financial, employee, and client records.
  • Drafting and mailing customer correspondence and newsletters.
  • Organizing events, scheduling meetings, and making travel arrangements.
  • Managing the maintenance of office and facility equipment.
  • Providing administrative support to other departments or projects as needed.
  • Performing other duties as assigned.
  • Plan and schedule appointments and events
  • Greet and assist onsite guests
  • Answer inbound telephone calls
  • Develop and implement organized filing systems
  • Perform all other office tasks
  • Recruit, orient, and train security personnel on appropriate security rules and procedures
  • Develop and enforce security protocols, policies, and procedures necessary for safeguarding lives and property
  • Prepare and control the budget for security operations to ensure delivery of high quality security services
  • Oversee the coordination of staff during an emergency situation
  • Assign guard duties to security personnel to ensure effective distribution of workload
  • Keep track of incidents in order to evaluate them and recommend a course of action
  • Oversee the installation of safety alarms within and around building premises
  • Schedule shift patrol to ensure a building/property is guarded at all times
  • Implement safety and health policies and procedures to protect employees against workplace hazard
  • Develop and manage the processes for securing classified and sensitive information
  • Set up key controls on company equipment and facility to limit access to restricted property
  • Order the supply of security tools and equipment required in carrying out security operations
  • Prepare and present reports of incidents and ways to limit reoccurrence
  • Liaise with public law enforcement agencies and fire department
  • Oversee the planning and coordination of security operations during high-risk events.
  • Review time and attendance sheets, wage computation and other information to detect and reconcile payroll discrepancies;
  • Compute wages and review time and attendance and enter data
  • Review, code and forward billing documents to the Finance Department according to company guidelines.
  • Obtain, record and forward request entry into the HRIS data for each employee on contract, including information such as addresses, absences, FMLA requests, requests for terminations and notifies Government of all terminations.
  • Process new hires, finger printing new hires/incumbents for licensing purposes, maintaining an extensive local training matrix tracking nearly 20 items per individual.
  • Maintain employee personnel and medical files.
  • Compile employee data and enter employee data
  • Generate weekly manning reports for Government

Qualifications:

  • Previous experience in office administration or other related fields
  • High school diploma/GED.
  • Degree in business administration, facility management, or a related field preferred.
  • 2 years of experience as an operations administrator or in a similar position.
  • Strong organizational and administrative skills.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office and data management software.
  • Detail-oriented with strong analytical and problem-solving skills.
  • Ability to prioritize and multitask
