We are looking for new team members to join our expanding organization.Summary: We are seeking a qualified, highly motivated, experienced Senior Payroll and Equity Administration Manager to support a growing organization. This individual should be a team player who is comfortable working in a fast-paced environment that is subject to Sarbanes-Oxley (SOX) 404b compliance and desires to develop professionally as the team and company grows. Reporting to the VP Finance, this individual will be responsible for all aspects of payroll operations and daily administration of the equity programs including but not limited to accurate and timely processing and recording of semi-monthly, ad-hoc payrolls, daily equity transactions as well as ensuring compliance with regulatory requirements, maintaining payroll records, and supporting system improvement projects related to payroll and equity administration.The ideal candidate will have at least eight years of public company experience, expert using ADP payroll processing software and E*Trade/EEO stock administration software and be exceptionally organized, self-motivated, responsible, flexible, deadline-oriented, detail-oriented, and resourceful.This is a hybrid role - our work from home days are Monday and Friday and our in-office days are Tuesday, Wednesday and Thursday.Essential Functions and Job Responsibilities:
Ensure payroll and equity records/processes maintain compliance with applicable laws and company policies
Partner with key stakeholders in Finance, Accounting, Human Resources and Legal to ensure timely and accurate record keeping for payroll and equity programs
Own the payroll process and ensure the completeness and accuracy of payroll processing, including review of new hires, terminations and master-data changes against source documents, timecards, time-off tracking, bonuses, payroll deductions, and other adjustments
Process and reconcile participant activity associated with the company's 401k retirement plan, including employee deferrals, loan repayments, and other transactions
Collaborate with Human Resources to establish efficient processes for all aspects of the employee lifecycle that facilitate timely and accurate updates to payroll records
Administer equity plans, and process equity award grants, exercises, releases, and cancellations
Assist or prepare journal entries for payroll and equity related transactions
Collaborate with Accounting team to perform reconciliations that include but are not limited to payroll and equity related expenses and accruals, as well as FSA, HSA, and 401k contributions
Prepare or review tax-related documents & registrations for payroll and equity transactions, review applicable tax filings, and perform year-end tax reporting
Assist with preparation of equity disclosures in applicable SEC filings
Support the design, implementation and maintenance of payroll and equity SOX controls, documentation, and standard operating procedures
Ensure payroll/equity internal control procedures are executed with high-quality documentation
Identify and work with management to implement new processes to optimize efficiencies within the payroll and equity areas, leveraging IT automation where appropriate
Support and participate in payroll and equity related employee training programs
Support internal and external auditor requests
Assist with other projects and process improvement initiatives as necessary
Qualifications:
Strong knowledge of multi-state US payroll, with excellent understanding of payroll laws and regulations, and implications of equity award transactions
Proven ability to lead a company’s payroll function through periods of rapid growth
Outstanding organizational skills and attention to detail
Ability to multi-task and effectively manage to achieve critical deadlines. Proven experience in meeting multiple deadlines in a fast-paced, growing environment
Strong communication skills and the ability to interact professionally and effectively with a diverse group of stakeholders
ADP payroll processing and Etrade/EEO stock administration systems experience
Strong Excel skills
Education/Experience:
Bachelor’s degree
Certified Payroll Professional (CPP) or Certified Equity Professional (CEP)
Minimum of 8 years of experience processing payroll in ADP for multi-state payrolls, 3 years in Stock Administration experience and at least 2 years in a manager capacity
Minimum of 4 years’ experience administration and processing of equity awards (ISO, NSO, RSU, etc.)
Minimum of 2 year’s experience preparing reconciliation and control documentation in SOX 404 (b) and accelerated filer public companies
Late development stage or commercial Biotech public company experience a plus
The anticipated annual salary range for candidates who will work in Newark, California is $170,000 - $180,000. The final salary offered to a successful candidate will be dependent on several factors that may include but are not limited to the type and length of experience within the job, type and length of experience within the industry, education, etc. CymaBay is a multi-state employer, and this salary range may not reflect positions that work in other states.
