Position Overview
The Administrative Specialist in Veteran’s Services serves as a liaison between veterans, their dependents, and the Department of Veteran Affairs. Engages with veterans and their dependents, filing claims for benefits available through the Department of Veteran Affairs and assists clients with referrals for further assistance.
Examples of Duties
Provide clients and customers with excellent customer service, while assisting them with office intake procedures
Manage and maintain a smooth flow of customer traffic coming through the office.
Utilize proper phone etiquette while assisting customers over the phone
Assists customers seeking benefits administered by the Department of Veterans Affairs.
Explain various benefits programs, their eligibility requirements, provisions, policies and procedures
Review veteran's records prior to County Veteran Service Officers interviews; verify service records, marital/dependent status, financial, social, and medical or other information needed for the benefits being sought
Assist veterans completing applications, compiling documentation, and composing or preparing letters, statements, and forms on the client's behalf and submitting them to the Department of Veterans Affairs while maintaining files copies for records.
Researches information, responds to complaints, provides explanations and interpretations, researches status of applications and directs caller to other departments, agencies or staff as appropriate
Provide administrative support to the Director, Veteran Services Officers and other staff members with other duties necessary to keep the office operations and functions at a presentable level
Minimum Qualifications
High school diploma or GED and one (1) year of experience in the assigned program area; or an equivalent combination of education and experience.
Management Preference:
Preference will be given to applicants with the ability to read, write and translate Spanish
Driving is an essential function of this position. To be considered, you must have a valid driver's license with an acceptable driving record. If your driver’s license is from another state, you will be required to obtain and show proof of a valid NC driver’s license within 60 days of hire.
Negative drug screen and background check are required.
Knowledge, Skills and Abilities
Knowledge of office practices and procedures
Skilled with computer software including Microsoft Excel and Microsoft Word
Ability to use correct numbers, arithmetic, bookkeeping, grammar, vocabulary and spelling
Ability to communicate effectively in person and over the phone
Ability to gather and give basic information and instructions on departmental programs based on inquires
Ability to operate a variety of office machines including fax, computers, and copier machines
Ability to use judgement in organizing and establishing priorities
Ability to record financial transactions and balance figures
Ability to establish and maintain effective working relationships with supervisors, employees and the general public
