Outreach Coordinator

Mission of the Outreach Coordinator

To grow the Cultivate Behavior Health and Education referral sources by maximizing the referral sales process and implementing a regional strategy. This includes prospecting and calling on net new referral sources, securing a diverse referral base, optimizing referral mix for both insurance payer sources and clinic hours, attending networking activities and events and retaining current relationships. This role is the face of CBHE in the community as well as referral prospects.

Desired Outcomes of This Role

1. Develop regional strategy to increase leads and optimize patient mix in region

  • Complete a strategic regional plan, with market data, and present to leadership
  • Inventory and categorize diagnosticians in region
  • Develop prospecting list and sales plan for each type of diagnostician
  • Prioritize clinics and regions to manage time allocation in territory
  • Identify markets for digital marketing strategies and work with marketing on digital outreach
  • Travel to assigned markets to do in-person outreach as well as remote

2. Secure good fit leads from established and new referral sources resulting in client launches.

  • Identify number of referral sources needed to achieve lead growth
  • Call on prospective referral sources and sell CBHE through sales messaging and clinical selling points
  • Attend networking events and events targeting appropriate audience to increase awareness of brand and make new contacts
  • Stop, listen, and ask questions of your clients in order to clearly understand their needs and to build solid relationships
  • Review progress in market and refine opportunities with RVP/CM in ROOs

3. Maintain and optimize current referral sources.

  • Meet/contact current referral sources via meetings, drop-ins, care packages and calls/emails
  • Perform a quarterly review with referral source either in person or via conf call to review referral types, progress to date, clinic availability and make requests for payer/patient type.
  • Ask for testimonials or ability to use as a reference for prospective accounts looking to validate CBHE
  • Support lunch and learns as needed to provided value adds to our contacts
  • Keep an updated list of referrals on hand for each market
  • Communicate any key accounts to Family Lead Coordinators for referral sources for families

4. Identify networking group/events

  • Identify networking groups and events in the community
  • Attend community/networking events
  • Represent the company according to corporate values
  • Procure marketing and promotional materials through corporate marketing brand team

5. Work to support the marketing and branding team in the following ways:

  • Provide them any contacts to be entered into marketing campaigns as needed
  • Suggest sales tools and materials to team to enhance sales process
  • Share agency social media posts on personal social networks
  • Participate in local social media groups (group permitted) as a resource
  • Engage with marketing on content workshops as needed as field expert
  • Only use brand approved content and material

6. Proper Salesforce compliance and usage

  • Use the sales pipeline tool as directed by leadership, data to be used for executive reporting and dashboards

  • Put all new prospects into the system and update notes
  • When speaking with or emailing a client, update the management system immediately
  • Respond to all referral source questions and/or emails within 4 hours
  • Track all touchpoints with referral accounts through Salesforce
  • Create reports and dashboards as needed to monitor and track progress of number of referrals and launches from referrals
