Proposal Specialist

The Proposal Specialist will play a vital role in the in the organization and management of proposal content working closely with the Director of Proposals and Client Communications and be responsible for coordinating the entire proposal process, ensuring accuracy, compliance, and adherence to deadlines.

The Proposal Specialist contributes to the creation of high-quality proposals that effectively showcase the organization’s capabilities, acts as an editor by proofreading client-facing sales material, recommending opportunities to clarify, bolster, and enhance wording where appropriate, leverages recently submitted bids and QA deliverables prior to submission.

This role will provide administrative support in scheduling and recording meeting minutes, printing and shipping sales deliverables, support and track Professional Services team priority deadlines among other tasks.

• Maintains and updates a library of proposal templates, standard content, and other relevant materials to streamline the proposal development process.
• Regularly review content repository for ongoing maintenance and opportunities for improvement, verifying all information is accurate and reusable for future deliverables while archiving old / outdated information.
• Liaises and collaborates with marketing to review and edit content, ensuring all client facing documents are accurate, impactful, visually appealing and on-brand.

Works closely with internal teams, and subject matter experts to coordinate content development.

• Conducts market and competitor research to enhance proposal content and positioning.
• Maintains calendar of RFP and other priority Professional Services deadlines to ensure progress and tracking to timely submission.

Escalates risks to leadership.

• Schedules meetings with professional services team, and other subject matter experts. Documents and disseminates meeting notes.
• Manages and tracks proposal and project deadlines and workflow.
• Proof-reads client-facing sales materials.
• Coordinates the printing and shipping of sales deliverables.
• Assists with the creation of unit meeting slides and other projects and administrative duties as needed.
• Independently creates well-organized, grammatically correct memos and reports for distribution.
• Manages and maintains the content library / repository, inclusive of written content and slideware.
• Updates content, leveraging recently submitted bids, presentations, etc.
• QA deliverables, prior to submission, for clarity, organization, consistency, grammar, spelling, brand awareness, etc.

Required Skills and Experience :

• Bachelor’s degree or equivalent, related work experience.
• 2 years of experience in a related role.
• Exceptional communication, writing, editing and proofreading skills, with the ability to distill complex concepts and language into content that is easily understood.
• Ability to manage multiple projects simultaneously, ensuring they are completed on time and meet quality standards.
• Strong organizational skills to coordinate various tasks involved in proposal development.
• Strong attention to detail to ensure accuracy and consistency in proposal content and formatting.
• Flexibility to adapt to changing priorities and requirements during the proposal development process.
• Openness to feedback and willingness to make adjustments as needed.
• Capability to identify challenges or roadblocks in the proposal process and develop effective solutions.
• Ability to work independently and collaboratively in a fast-paced environment.
• Track record of successfully delivering against assigned goals with a given deadline
• Ability to conceptualize and deliver graphics to convey ideas and information.
• Demonstrated ability to establish and maintain effective working relationships.
• Ability to work effectively under pressure, meet tight deadlines, and prioritize competing initiatives.
• Demonstrates resiliency and shows initiative.
