Crystal Springs Services is Hiring a Resort Activity Event Coordinator Near Hamburg, NJ

 

Crystal Springs is seeking an Activity Event Coordinator.

This job description in no way states or implies that these are the only duties to be performed by the Team Member occupying this position. The team member will be required to perform any other job-related duties assigned by his/her supervisor.

Essential Functions:

  • Respond guest feedback in a positive manner to ensure overall guest satisfaction
  • Motivate, coach, counsel and discipline all Activities personnel according to Crystal Springs SOPs.
  • Prepare and conduct all Activity team interviews and follow hiring procedures according to Crystal Springs SOPs.
  • Ensure safety is consistently top priority. Report concerns through proper channels and follow up until resolved
  • Ensure all activity equipment is in dependable, safe, working order. Repair and replace as needed. 
  • Assist Activities Director in creating weekly and seasonal schedule for activity offerings. Adjust as needed based on business trends, 
  • Attend daily Stand Up meeting, BEO meetings and Labor Meetings.
  • Review activity staff’s worked hours for payroll compilation and submit on a timely basis.
  • Prepare employee weekly schedule according to business forecasts, payroll budget guidelines and productivity requirements. Adjust daily as needed to optimize payroll. 
  • Ensure that all guest charges are being rung in on a timely manner (prior to guest checkout)
  • Submit POs for entertainment and outside vendors as scheduled by Activities Director. 
  • Maintain a professional working relationship and promote open lines of communication with managers, employees and other departments.
  • Work closely with accounting to ensure COD vendors are paid when they arrive for their event. 
  • Operate all aspects of the Activity computer system, including managing activity schedules, booking function space, building activity reservations, reporting and auditing. 
  • Ensure staff greet and welcome all guests that they encounter.
  • Ensure property appearance is upheld to the highest standard 
  • Ensure activities are executed professionally and locations can be found easily. 
  • Ensure the participation and schedule monthly department meetings.
  • Focus on the importance of the Activity department in driving guest experience.
  • Monitor all VIP reservations and ensure proper servicing.
  • Seek team input and encourage idea sharing amongst team members with the goal of continual improvement. 
  • Ensure the Activity Team is obtaining waivers as necessary per Resort SOPs via random audits. 
  • Setup and facilitate activities as needed for transient, corporate and social guests. 
  • Maintain up-to-date knowledge of Resort happenings and educate the Activity team in order to communicate with guests and members. 
  • Maintain knowledge of all Resort properties/locations, as well as off-site locations in order to direct guests accordingly. 
  • Maintain proper inventory levels of all activity supplies and equipment. Purchase as necessary. 
  • Maintain knowledge of local activity offerings. 
  • Assist Activities Director in creation of annual social member calendar. 
  • Work directly with the CS Social Membership for all social functions. 
  • Facilitate (or staff for) all social member functions.
  • Adapt to the ever-changing needs of our membership and respond to criticism in a positive manner to ensure member satisfaction. 
  • Create BEOs for all activities and social member functions.

Responsibilities: 

  • Must be able to speak, read, write and understand the primary language(s) used in the workplace i.e. English
  • Must be able to read and write to facilitate the communication process. 
  • Requires good communication skills, both verbal and written. 
  • Must have excellent interpersonal skills. 
  • Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel. In addition, attendance at all scheduled training sessions and meetings is required. 
  • Must have weekend and holiday availability and the ability to work a flexible schedule.
  • Walking and standing are required for most of the working day. Length of time may vary from day to day and task to task.
  • Must be able to execute all activities and events that are offered through the activities department.
