The Project Manager's role primarily involves administration and is tasked with managing and implementing activities that facilitate the functioning of the Teaching Pastor and team. While the exact tasks may differ, the Project Manager's responsibilities mainly center around aiding the Teaching Pastor in planning and executing weekly tasks and projects. This encompasses overseeing email communication and calendar management, contributing to the planning and executing ministry events, handling the procurement process (including expense reporting and credit card transactions), and managing social media.
Given the dynamic nature of this position, the ideal candidate should possess exceptional time management skills and the ability to foresee and address needs proactively. Interaction with a diverse range of individuals requires a seamless and professional demeanor. Success in this role hinges on the individual's capability to handle highly sensitive and confidential information with professionalism and discretion.
In addition to the aforementioned responsibilities, the perfect candidate will possess proficient social media skills to adeptly coordinate, capture, edit, schedule, and post content in alignment with the specific needs of the ministry.
PRINCIPAL DUTIES & RESPONSIBILITIES:
  • Provide administration support to the Teaching Pastor and team.
  • Coordinate and oversee the Teaching Pastor's calendar (both within and beyond the Crossroads community), including scheduling appointments and working with the Teaching Pastor to effectively manage time.
  • Manage the Teaching Pastor's email, including writing and editing e-mails, drafting memos, and preparing communications on the Teaching Pastor’s behalf, organizing/filing folders, prioritizing critical issues, and responding as needed. Please note; proficiency in Flodesk is required.
  • Triages the email to elevate the most important emails. To do this well requires a deep understanding of current organizational priorities.
  • Detailed execution of tasks throughout the planning and implementation of ministry events, including event planning, organizing meetings, scheduling, sending reminders, and organizing catering when necessary.
  • Collaborate closely with and take direction from the Ministry Director to manage event specifics.
  • Managing the procurement process, handling billing responsibilities, and overseeing credit card transactions.
  • Compiling expense reports & maintaining comprehensive and accurate records.
  • Volunteer coordination & communication, as needed.
  • Create reports, presentations, memos/communications, typing up meeting notes, scanning, and filing as needed.
  • Coordinate travel arrangements as needed.
  • Social Media assignments as needed.
  • Other Ministry Support/duties as assigned.
SKILLS REQUIRED:
  • Strong ability to communicate with others with high interpersonal skills
  • Excellent written skills
  • Must be proficient in FloDesk (email management software)
  • Maintain strict confidentiality of sensitive information and maintain a high degree of professionalism in all interactions
  • Proficient Google Docs & MS Office applications
  • Time-management skills and ability to multi-task
  • Organization skills and ability to pay attention to detail
  • Previous job experience as an administrative, or executive assistant

PHYSICAL REQUIREMENTS:
  • Performs effectively under pressure, and against strict time constraints.
  • Must be able to lift 25 lbs.
SCHEDULING/TRAVEL REQUIREMENTS:
  • This is typically a weekday, normal business hours role; however, it may include occasional Sundays or weeknights to help execute ministry events.
  • This role may include occasional travel to assist with speaking engagements and other events.
EDUCATIONAL REQUIREMENTS:
  • High School Diploma or equivalent work experience. Bachelor’s degree preferred.
