Company Description

Creature is an integrated design build firm based in Birmingham, AL. Our focus is on developing a differentiated delivery platform for healthcare construction. We are a leader in delivery of health care facilities utilizing the Design, Manufacture, Construct (DMC) methodology. DMC replaces the century-old, siloed approach of the Architecture Engineering and Construction Industry. A major lever in our platform is our Project Management function.

Job Description

We are searching for a highly professional, proactive, and tech-savvy Office Manager to oversee the daily operations of our bustling office. The successful candidate will manage the workspace while also performing other office duties to support the overall company as needed. 

Essential Functions

Office Operations:

  • Oversee day-to-day office operations, ensuring smooth workflow and functionality.
  • Ensure the office is well-maintained, organized, and a conducive environment for our staff to excel and guests to be welcomed.
  • Handle procurement of office supplies and liaise with vendors and service providers.
  • Own all food ordering, food deliver, food inventory, and food related decisions. 

Office Support:

  • Provide leadership within the office and manage a variety of special projects that may have organizational impact.
  • Plan and coordinate travel arrangements for executives, ensuring smooth and timely itineraries.
  • Handle bookings, ticketing, and any other travel-related tasks as necessary.
  • Manage and own any non-strategic administrative work.

Human Resources Assistance:

  • Assist with onboarding processes for new hires, including orientation and setup.
  • Coordinate with the HR department for any personnel-related tasks and documentation.
  • Ensure all office policies are communicated and upheld by all staff.

Community Building:

  • Organize team-building activities and office events to foster a sense of community and collaboration among staff.
  • Serve as a point of contact for staff concerns, promoting a positive work environment and addressing any issues promptly.

Requirements

  • 3 years of proven experience as an Office Manager or similar role.
  • Emotional maturity and ability to build relationships with stakeholders, internal team, clients and external partners.
  • Experience assisting C-suite executives (preferred).
  • Outstanding knowledge of office management processes and best practices.
  • Exceptional technological aptitude with the ability to swiftly grasp and use new software and tools.
  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Proven ability to handle confidential information with discretion and be adaptable to various competing demands.
  • Problem-solving mindset with a proactive approach to challenges.
  • This position is an in-person position that requires availability from 7am-4pm, Monday – Friday.

Accountabilities

  • Create a productive and positive work environment for all Creature employees.
  • Create a welcoming environment at Creature HQ for all guests.
  • Build and maintain strong relationships with key stakeholders, including internal team members, clients, and other external partners, to support the company's growth and success
  • Ensure seamless delivery of company wide events, presentations, and meetings
