Job Description

Position Summary:

The Travel and Logistics Coordinator is a member of the Travel Logistics Division. The coordinator is responsible for implementing travel and logistics related activities; ensuring compliance with regulations and internal processes; identifying cost saving strategies; managing the financials and the budget of assigned projects; and assisting in the evaluation and improvement of existing standard operating procedures.

Major Responsibilities:

  • Implement travel arrangements (including but not limited to airfare, lodging, meals and incidentals, and ground transportation and visa) and logistics (including but not limited venue, catering, ground transportation, and interpretation) of CRDF Global funded projects
  • Interact with clients (internal and external) to ensure full customer satisfaction
  • Manage project level travel and logistics budget and ensure arrangements are within budget
  • Initiates, approves, and executes routine travel and logistics-related payments
  • Manage a CRDF Global corporate American Express card
  • Ensure compliance with USG regulations, funder requirements, internal policies/procedures, and best practices
  • Communicate with funder(s), grantees, and contractors
  • Maintain and update electronic records and databases
  • Support any research, planning and organizational tasks for projects
  • Prepare biographical information
  • Prepare program books and welcome packets
  • Serve as trainer for new staff across all offices
  • Contribute to and generate content for social media related to each project
  • Participate in business development efforts
  • If required to work some hours on weekends or be on-call when there is a group on ground
  • Organize the program opening sessions
  • Perform office administration tasks as assigned
  • And any other duties as assigned.

Qualifications:

  • Two years of relevant work experience in project support, administrative and travel and/or event logistics management
  • One-year work experience in an international organization
  • Bachelor’s Degree is required
  • Experience in budget development and financial reporting
  • Demonstrated ability to build and maintain effective working relationships across functions, organizations and suppliers/vendors
  • Demonstrated project management skills (work breakdown structure), project planning, scheduling and tracking
  • Experience working in a fast-paced environment with competing priorities
  • Strong proficiency with Microsoft Office programs (Word, Excel, Project) and ability to work with other programs (Adobe Acrobat) and databases.
  • Strong attention to detail and organizational skills
  • Solid critical thinking, writing, and editing skills
  • Strong negotiation skills
  • Excellent and effective written and oral communication skills and the ability to interact with a wide range of individuals from varied backgrounds at all levels within the organization
  • Strong time management skills and ability to deliver services on time, on budget and in accordance with funder expectations
  • Understanding of federal regulations and related requirements
  • Ability to travel domestically and internationally
  • U.S. work authorization
  • Ability to prioritize effectively and serve competing demands to meet set deadlines
  • Poise, flexibility, discretion, and mature judgment to respond professionally in a fast-paced and sometimes high-pressure environment
  • Knowledge of foreign affairs and international exchange

Preferred:

  • Experience in study abroad or working/living overseas preferred; and
  • Foreign language proficiency is a plus.
