SUMMARY The Headquarters (HQ) Experience Administrator, reporting to the Director of Corporate Real Estate, is responsible for creating a warm and welcoming professional atmosphere to the employees, tenants and guests of the Portland, Maine headquarters facility. This customer-centric role owns the physical representation of our dynamic Covetrus culture along with our tenants and guests. Critical to the role is managing access control, parking management, mail and site service-related vendor relationships. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Own the creation and maintenance of a Front Desk and Office Guidebook containing all processes, contacts, and checklists for the areas that the position has ownership over and/or executes. Take total responsibility for mail and packages as tenants require including scanning and distribution. Have radical ownership of the cleanliness of the space, influencing building members behavior and communicating regularly with office cleaning staff. Refresh the common area office space multiple times per day and as needed taking on such activities as resetting meeting rooms, tidying common spaces and workspaces. Manage access badging, parking procedures, building work orders and the visitor management system. Manage the relationship between the building and other vendors and partners. SUPERVISORY RESPONSIBILITIES None QUALIFICATIONS: • Enhances the building and organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments EDUCATION AND/OR EXPERIENCE High School Diploma required, and the successful candidate should have a passion for learning and development. Experience in a professional multi-tenant environment a plus. COMPETENCIES (SKILLS AND ABILITIES) High level of customer service aptitude. High level of motivation, self-starter, ability to quickly identify what needs to be accomplished. Excellent communication skills and problem-solving abilities. Willingness to roll up your sleeves. Ability to interact with employees at all levels. Well-organized and detail-oriented with good follow-up skills. Typical working hours are 8:00am to 5:00pm and may require some adjustment based on activities in the office and the needs of the business.
