Position Overview

The IT Project Manager is responsible for defining detailed project plans for the internal IT departments and Autonomous Work Teams (AWT). They will be working directly with the Business Process Owners and collaborating with key stakeholders and project team members: IT Managers, IT Business Analysts and Developers.

The IT Project Manager will assist the Director of Project Management in supporting all AWT and IT departments by providing visibility to Key Performance Indicators (KPI) by team, cross functional resource allocation, project dashboards, maintaining accuracy on all project plans, and ensuring that projects are on time, in scope, and on budget. Also, as Smartsheet Administrator, will need to support enterprise onboarding (part of PMO) and license maintenance. This role will also be supporting the Compliance Manager as Project Manager.

***Please note that this is a mostly remote position, but will report to our HQ in Homestead, FL periodically for team huddles.***

DUTIES & RESPONSIBILITIES

  • ·Define and set up governance around Smartsheet Project Management tools across the enterprise.
  • ·Develop detailed project plans, identify critical milestones, and agree on deliverables with team members.
  • ·Ensure success by deploying agile project management methodology, tools, and guidance.
  • ·Support and complete sprint planning with AWT and IT Functional Leads and ensure all team members have visibility of work for the upcoming sprints.
  • ·Ensure AWT and IT Functional Leads complete backlog grooming.
  • ·Ensure that all projects have documentation and a change management record if needed.
  • ·Ensure all Integrated Technology Team members have visibility to projects and resources.
  • ·Detailed analysis to determine required resources and identify project constraints to document in retrospective.
  • ·Ensure effective coordination across multiple project teams.
  • ·Communicate and escalate to the Business Process Owners and project team members the overall project progress, timelines, risks, issues, budget information and scope changes.
  • ·Communicate progress through a formal weekly dashboard/report.
  • ·Contribute to prepare team for Huddles and Peer Review.
  • ·Define and schedule recurring project meetings.
  • ·Smartsheet Licensing granting and cleanup users quarterly.
  • Support Director of Project Management on yearly project initiatives and improvements to Smartsheet.

QUALIFICATIONS

·Working knowledge of Smartsheet project management tool.

·Bachelor’s degree in business administration, Management Information Systems, Project Management, or relevant field is required.

·Bilingual English and Spanish written and verbal communication skills is required.

·Familiarity with IT Development Operations.

·Working knowledge in Microsoft Excel – advanced and Visio.

·Ability to capture requirements and identify gaps.

·Ability to effectively handle multiple priorities under tight deadlines by setting appropriate expectations.

·Ability to effectively communicate and present to all levels of the enterprise.

·Ability to design, document and implement processes and procedures.

·Exceptional communication, oral and written.

·Project Management Professional (PMP) or Agile Certified Practitioner (ACP) is strongly preferred.

·Agile implementation methodology a plus.

·Business Acumen and self-motivation to understand processes in detail.

·Teamwork and leadership skills, proactive attitude.
