JOB SUMMARY

The Operations Specialist is a pivotal position responsible for ensuring the seamless operations of daily tasks, enhancing client engagement, and supporting consultants in delivering exceptional services. This multifaceted role involves leveraging technical skills such as data management and analysis, research, and document creation, along with a diverse range of soft skills including effective communication, organization, and problem-solving. By coordinating schedules, facilitating information exchange, and assisting in proposal development, this role provides administrative support to our consultants in various aspects of their client engagements, ensuring efficient operations and outstanding client service delivery.

ESSENTIAL FUNCTIONS

Knowledge and Skills

  • Collaborates with consultants to create compelling and comprehensive proposals by coordinating the collection of relevant information, contributing to content creation, and ensuring timely submission of polished proposals.
  • Assists in the preparation of visually engaging and impactful sales presentations by compiling data, contributing to content development, and helping design slides that effectively communicate Cornerstone’s services and value proposition.
  • Coordinates and schedules vendor demonstrations for technology solutions relevant to each practice area. Gathers feedback from consultants and assists in evaluating potential tools or platforms.
  • Creates, organizes, and maintains project documentation. Ensures documentation is accurate, up-to-date, and easily accessible for internal teams.
  • Schedules appointments, meetings, and conference calls. Efficiently manages time zones and coordinates schedules to ensure optimal time management.
  • Addresses and manages financial and reporting queries related to practice area performance. Collaborates with finance and reporting teams to gather necessary data and provide timely and accurate responses.

  • Conducts thorough research on clients and prospects to provide valuable insights and background information. Synthesizes findings to support consultants in tailoring their approach and enhancing client relationships.
  • Identifies key issues, formulates tailored solutions, and contributes to persuasive proposal development.

  • Exercises decision-making authority in assessing and prioritizing tasks, coordinating schedules, and facilitating effective communication within Cornerstone. Decisions may not encompass strategic or high-level matters, but they are crucial for optimizing daily operations, supporting consultants, and ensuring seamless client interactions.
  • Decision-making consequences can impact project timelines, client relationships, and internal coordination, ultimately influencing Cornerstone’s efficiency, client satisfaction, and overall success.

Communication and Collaboration

  • Serves as a point of contact between consultants, clients, and internal teams. Facilitates effective communication, responds to inquiries, and ensures smooth and accurate information flow.
  • Uses a proactive communication style to ensure efficient data exchange, seamless coordination, and a collaborative environment that enhances project execution, client engagement, and overall operational effectiveness.

  • Engages in dynamic interpersonal interactions both within and outside the firm, displaying adept communication skills to liaise with colleagues, consultants, clients, and external partners.

REQUIRED SKILLS & ESSENTIAL QUALITIES

Technical Skills

  • Excellent organizational skills and attention to detail to manage multiple tasks and deadlines.
  • Strong written and verbal communication skills to contribute to proposal development, presentations, and client interactions.
  • Ability to work with and analyze data, including inputting, organizing, and maintaining accurate records using tools like Excel or specialized software.
  • Familiarity with Microsoft Dynamics CRM platform to manage client information, interactions and track project progress.
  • Knowledge of video conferencing and collaboration tools (e.g., Zoom, Microsoft Teams) to facilitate remote meetings, screen sharing, and communication.
  • Uses basic skills in document design and formatting to create visually appealing and professional reports, presentations, and proposals.
  • Ability to organize and manage digital files and documents in a structured and accessible manner.
  • Experience with basic data analysis concepts and tools to support consultants in performance analysis and reporting tasks.
  • Knowledge of Microsoft 365 for real-time document collaboration and version control.
  • Familiarity with project management tools to assist in organizing tasks, tracking progress, and maintaining project documentation.
  • Understanding of Microsoft Dynamics and Power BI to assist in addressing financial and reporting queries related to practice area performance.

EDUCATION & EXPERIENCE

Minimum Qualifications

  • Bachelor's degree in Business Administration or related field, or equivalent experience.
  • Proven experience in administrative support within a fast-paced professional environment, preferably in financial services or consulting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools such as Microsoft Teams and SharePoint.

Preferred Qualifications

  • Familiarity with financial and reporting concepts is a plus.
  • Microsoft Dynamics experience is preferred.
