COOK INLET TRIBAL COUNCIL, INC.

JOB DESCRIPTION

Job Title: Facility Operations Supervisor

Department: Institutional Advancement 

Reports To: Assistant Manager, Facilities Operations

Supervises: Facilities Service Technicians I/II/III

FLSA Status: Exempt 

Pay Grade: E4

Job Type: Full-Time, Regular

AKBCU: No ICPA: Yes

General Functions: The IA Facilities Operations Supervisor supports the Assistant Manager and the wide-ranging duties related to the daily operations, maintenance and service of CITC buildings and properties. These duties include fleet management/maintenance, managing work orders, maintaining warehouse spaces, managing conference rooms, mail operations, conducting QA inspections, and providing emergent facility incident response.

Duties and Responsibilities:

  • Perform quality assurance of existing contracts, ensuring that services, payments, and goods are received on time and meet contract specifications and guidelines.
  • Maintain, modify, and update contract documentation and assist the Assistant Manager in gathering quotes and estimates for new contracts, and projects. 
  • Coordinate services with departments to ensure that all affected parties are aware of services that are scheduled. Identify, address, report discrepancies to the Assistant Manager, and assist in developing corrective actions.
  • Schedule Rasmuson Conference Center, including, technology, room set-up, and breakdown.
  • Prepare check requests, purchase requisitions, and expense reports.
  • Assist in management of shipping and receiving, utilities, surplus property, mail distribution and courier services.
  • Assist office moves, relocations, and new hire set-ups.
  • Cleaning, organization, and inventory of corporate storage areas.
  • Assist in the administration of fleet services, scheduling, cleaning, and refueling.
  • Responsible for scheduling of fleet vehicles, vehicle maintenance, service, inspections, and maintaining detailed records to ensure operational efficiency.
  • Verify drivers are all approved CITC drivers, and ensure they adhere to CITC driver policies.
  • Assist in regular QA inspections. Report damage or findings to Operations Manager.
  • Respond to emergency maintenance requests as needed and notify appropriate personnel while following safety protocol.
  • Know the Preventative Maintenance programs for facility (plumbing, water filtration, Coordinate and maintain the Preventative Maintenance programs for corporate facility (plumbing, water filtration, electrical issues, locksmith concerns, office cleaning, pest control, HVAC services, etc.).
  • Monitor emails to ensure requests are answered promptly and professionally and follow up with work tickets to ensure CITC staff are satisfied.
  • Perform all other duties as assigned. 

Additional Job Specifications/Skills/Abilities:

  • Excellent interpersonal skills; ability to work effectively and cooperatively with all levels of management and staff, affiliated-company employees as well as outside business associates in a professional and courteous manner.
  • Possess great time management, organizational, follow-up and detail-oriented skills.
  • Understand CITC’s mission, vision and strategic focus areas and incorporate knowledge into daily activities.
  • Strong knowledge of Microsoft Office products and Adobe Acrobat software.
  • Demonstrated ability to work independently, with minimal supervision.
  • Have basic fundamental knowledge of department policies and procedures pertaining to physical plant activities, standard methods, practices, tools, and equipment of facilities and fleet management. 
  • Be familiar with and aware of safety protocol and safety issues at all times.
  • Demonstrated ability to perform the following physical tasks: standing, walking, bending, kneeling, stooping, crouching, crawling and climbing throughout the workday.
  • Demonstrated ability to frequently lift and/or move items over 50 pounds.
  • Knowledge of Alaska Native and American Indian culture and/or community resources.
  • Demonstrated knowledge and understanding of the social, health, educational, training, and cultural needs of the Alaska Native and American Indian communities. 

Minimum Core Competencies: CITC Values, Respectful Leadership, Professionalism, Emotional Intelligence, Problem Solving/Critical Thinking, Communication Skills.

Minimum Qualifications:

  • Two (2) years of experience working in facilities maintenance or a related field. 
  • One (1) year of supervisory experience.
  • Valid Driver’s License and insurable under CITC’s automotive insurance, which requires the driver to be at least 21 years of age.
  • Must have current First Aid and CPR certifications or be able to obtain within three months from date of hire.
  • Demonstrated knowledge and understanding for the social, health, educational, training, and cultural needs of the Alaska Native and American Indian community.
  • Continued employment is contingent upon satisfactory completion of state and federal background check.

Preferred Qualifications:

  • Associate’s degree in Business, Project Management, Facilities Management or related field. Relevant experience may substitute for the educational requirement on a year-for-year basis.
  • Experience working with Alaska Native people, knowledge of their values and belief systems and ability to provide culturally competent services.
  • Three (3) years of experience working in facilities maintenance, Operations or related field.

NATIVE PREFERENCE STATEMENT: Pursuant to the Indian Self-Determination and Education Assistance Act of 1975 (PL 93-638) and as further guided by CITC’s Native Preference Policy 6.120, CITC maintains preference in all phases of employment for Alaska Native, American Indian (AN/AI) and Native Hawaiian people, including direct lineal descendants and foster or traditionally adopted children. Also included are non-Native head of household members for Native families, which includes foster or traditionally adopted Native children.
