Controlled Air, Inc. is Hiring a Sales Administrator Near Branford, CT

Position Summary

The primary duty of this role is to offer comprehensive administrative assistance to both the sales and service support teams as well as the management staff. In this position, you will collaborate closely with our dynamic sales team to guarantee the efficient and high-quality delivery of sales project proposals to our valued customers. This position plays a pivotal role in ensuring that our clients receive their proposals promptly and meet our exact standards of excellence.

Job Functions:

  • Works in CRM system to keep sales lead and bid lists up to date.
  • Collaborates with the Sales Director to allocate CRM leads.
  • Create sales proposals by incorporating estimates and input from the sales team to guarantee accuracy.
  • Process and coordinate sales orders from customers.
  • Communicate and coordinate with customers with any sales or project information needed.
  • Process and maintain customer sales contracts and purchase orders.
  • Maintain customer sales information.
  • Manage physical and digital filing systems.
  • Run and publish regular sales reports from CRM.
  • Provide phone support for sales organization.
  • Provide phone support for various departments.
  • Provide administrative support for various Department when needed.

Knowledge, Skills and Abilities:

  • Minimum 3 years of applicable work experience.
  • Proficient in MS Excel, MS Word, and PDF
  • Experienced with CRM
  • Well-rounded with an ability to solve problems creatively.
  • Takes initiative.
  • Excellent listening skills.
  • Excellent oral and written communication skills.
  • Must be able to organize, prioritize and manage multiple tasks and projects effectively.
  • Honesty, integrity, and a strong desire to succeed.
  • Interacts with others in a respectful and professional manner.
  • High energy, self-motivated and proactive, marked by a positive attitude and having a willingness to persevere.
  • Self-directed, extremely organized and can manage multiple activities simultaneously.
  • Able to work on very tight timelines while maintaining excellent attention to detail.

  • Capable of establishing and sustaining collaborative relationships with all functions within the company.
  • Must be able to foster a sense of teamwork.

Job Qualifications:

  • Associate degree in Business Administration, a related field, or minimum 3 years of related experience in a similar detailed oriented position.
  • 3 years of experience with a HVAC or construction contractor in an administrative role is a plus.
  • This position is full time and based in Branford, CT.
