Job Description

Up to 20 Days of PTO per year, plus 7 Paid Holidays per year! The Administrative Specialist will play an integral role in supporting Connexus employees, departments and members. Reporting to the Administrative Services Manager, this role will be responsible for assisting with the day-to-day business operations, employee requests and special projects. A typical week may include booking travel for employees, monitoring emails and requests, completing onboarding tasks, updating the company intranet, completing fillable forms, handling incoming/outgoing mail while keeping a flexible mindset, professional and positive attitude. This position will work at our Corporate Cove location in Wausau, Wi. Responsibilities of the Position: Effectively print and mail financial documents to borrowers and members within established timeframes. Follow instructions and review for accuracy and completeness. Work with internal business partners and other Connexus employees to answer questions and resolve issues. Reserve travel, conference, webinar, and seminar arrangements for employees as requested through company travel management system. Monitor and process/complete work identified through group email and Ivanti ticketing tool. Create fillable forms and PDF documents as requested. This includes creating forms in Microsoft Word and converting to PDF documents. Perform mail-merges for labels, letters and special projects as requested. Maintain information on the credit union’s intranet site which includes onboarding & off boarding tasks, uploading procedures, posting internal communications to archives, and other intranet updates as requested. Maintain employee signature information in OpenSense which includes onboarding tasks and updates based on request. Complete merger related duties as assigned. Participate and support with new and existing projects within the department and credit union while keeping a flexible and adaptable mindset. Maintain inventory of general office supplies, forms and promotional items for the credit union. Responsible for monitoring inventory, ordering, stocking, and distributing for departmental and main supply inventory areas. Process and distribute all incoming and outgoing mail, interoffice correspondence, and deliveries; research and resolve questions on proper distribution. This includes sorting and scanning incoming mail for electronic and hard-copy distribution. Also includes preparing and printing outgoing mail and UPS packages. Process returned mail which includes separating out returned loan coupons booklets, new member packets, and debit cards. Sort into one of three types of returned mail and process in a timely manner according to established guidelines. Position Minimum Requirements: High school diploma or equivalent required. 1 years office or administrative work experience required. Proficient in the use of software applications including but not limited to Microsoft Outlook, Word, Excel and PowerPoint and the ability to use the internet effectively. Effective organizational, interpersonal and communication skills required to help resolve routine problems, answer general questions and know when to escalate more complex issues. Evidence of good organization skills, strong attention to detail and the ability to prioritize and meet deadlines with minimal supervision. Demonstrates ability to be a team player, with willingness to work in a fast-paced environment. Ability to quickly learn and adapt new technologies.
