A role you will love

The Client Service Administrator – GCP is responsible for coordination and management of all operational aspects of client activities relating to proxy or corporate actions jobs. The Client Service Administrator - GCP initiates client service work orders and ensures that the expectations of the client are met. The Client Service Administrator - GCP must work closely with the lead GCP Account Executive as well as the client and effectively communicate with all internal departments involved in those jobs.

Primary Accountabilities

  • Maintain a professional relationship with all clients, attorneys, GCP Account Executives, transfer agents, tabulators, Broadridge Financial Solutions and The Depository Trust Company.
  • Maintains functional knowledge of Computershare’s processes, systems, products.
  • Must be able to support and work collaboratively with members of Client Services Team.
  • Must be able to properly schedule tasks and obtain all necessary shareholder data to meet job deadlines and quick turn-around times.
  • Must communicate well with other transfer agents, tabulators and various intermediaries to ensure timely receipt of shareholder listings and tabulation reports. Must monitor the tabulator’s voting results to ensure accuracy.
  • Coordinate with call center to ensure the proper files are ordered and processed in a timely manner. Communicate with call center daily during call campaign and report to the Account Executive and/or client.
  • Work directly with the Institutional Client Services group to obtain material quantities and monitor vote returns so that the necessary solicitation calls can be made. Must provide the client with those quantities as well as the correct delivery instructions. Keep the client and related parties informed of the vote status either by providing a report verbally or by e-mail.
  • Provide all details and coordinate with our printing, mailing and distribution facilities to ensure that the client’s mailing is completed accurately and by the requested deadline. Confirm that other intermediaries complete their mailings.
  • Must know the details of all assigned jobs to ensure that client inquiries are properly addressed in the absence of the lead GCP Account Executive. Must also be willing and able to cover for colleagues that are away from the office.

The ideal candidate should possess the following:

  • Associates degree or higher
  • 5 years’ experience five years related experience.
  • Stock transfer knowledge required (company annual meetings – PROXY events)
  • MS Excel proficiency (v-lookups, macros)
  • Financial and client services experience
  • Ability to read and understand voting recommendations issued by various institutional advisory firms.
  • Participate in meetings and conference calls with the lead Account Executive and colleagues from other internal departments.
  • May be required to travel and act as Inspector of Election at shareholder meetings.
  • Initiates telephone calls to clients and answers client calls promptly. Must also be willing to answer telephone calls of other departmental colleagues that are not available.
  • Be prepared to report the status of an assigned job as well as any difficulties that have arisen at weekly staff meetings.
  • Must be able to work extra hours and handle a large client load during the spring busy season.
  • Keep client files organized and complete.
  • Must pay very close attention to details.
