The Medical Records Clerk is responsible for sending, receiving, and filing of medical records. Individual corresponds with patients, physician offices, insurance providers, Shepherd staff and other entities to ensure efficient and accurate transmittal and accessibility of documents. The clerk ensures that guidelines for PHI/HIPAA are followed and assists as necessary to meet meaningful use measures.
a. Respond to medical record calls in a professional manner. Address callers' needs in accordance with company practices and legal guidelines.
b. Perform scanning and filing (sorting) accurately to ensure the integrity and accessibility of patient records.
c. Release requested medical records in a timely fashion paying close attention to HIPAA guidelines and noting all releases of information in the patient chart.
d. Write referrals ordered by Shepherd physicians.
e. Assist in following up with patients who have lab orders from Shepherd physicians.
f. Perform Total Recall duties.
g. Compile surgery information packets.
h. Assist patients who are logging into the patient portal.
i. Organize supply closet and perform maintenance/janitorial duties when necessary.
j. Assist patients on the phone with driving directions.
k. Stamp outgoing mail.
