Community Resource Network of Florida Inc. is Hiring an Administrative Specialist Near Fort Myers, FL

Community Resource Network of Florida provides services to Individuals with Developmental Disabilities.

We pride ourselves on our person-centered programs that encourage Individuals to increase their independence and live their best lives. 

We have a current opening in our Life Skills Program. This role is a support role with administrative functions.

This is an in-person position with the capability for some remote work once fully trained. At least 3 days a week will be in person at one of our Life Skills Program locations. 

ROLE OF THE ADMINISTRATIVE SPECIALIST

The Administrative Specialist-Compliance is responsible for ensuring and maintaining compliance with documentation and administrative requirements in accordance with the APD I-Budget handbook. The Administrative Specialist-Compliance will work closely with the Life Skills program director and managers.

ESSENTIAL FUNCTIONS

  1.  I-Connect entries
  • Enter all Individuals attendance data weekly into the I-Connect system per APD requirements.
  • Verify date and time accuracy.
  • Verify application of attendance to the proper service authorization in I-Connect.
  • Cross reference attendance entries in the Therap System to entries being entered into the I-Connect system.
  • Correct any errant entries in the I-Connect system, following attendance adjustments or other changes to an Individuals attendance data.
  • Enter all Implementation Plans into I-Connect using the FORMS section per APD requirements.
  • Upload all signed Implementation Plan documents to the NOTES section of I-Connect per APD requirements.
  • Review signed Implementation Plans, ensuring proper signatures are present prior to uploading to the I-Connect system.
  • Enter quarterly and annual reports for each Individual into the I-Connect system in the required timeframe.
  • Audit and ensure proper dates are being entered for the quarterly and annual reports.
  • Verify the quarterly or annual reports indicate progress status toward the goals.
  1. Administration
  • Maintain tracking mechanism for Individuals Support Plan dates.
  • Ensure current Support Plan is on file for each Individual served.
  • Update quarterly and annual report dates per Individual to ensure compliance with submission.
  • Update Implementation Plan tracking mechanism with any changes that occur to the Individuals IP date.
  • Maintain and update Individuals records in the Therap system.
  • Update Therap system with updated or new Support Plan goals.
  • Update Therap system with updated Implementation Plan goals.
  • Communicate with Waiver Support Coordinators (WSC) when a new SP is needed.
  • Communicate with Waiver Support Coordinators (WSC) to request provider documentation be enabled in the I-Connect system.
  1. Documentation 
  • Run reports weekly to ensure Instructors compliance with daily documentation completion.
  • Provide report to the program manager of missing documentation.
  • Ensure all documentation has been completed prior to billing.
  • Maintain annual paperwork requirements for all participating Individuals.
  • Send out annual paperwork updates.
  • Obtain and track annual paperwork for each Individual, work with program managers to obtain missing forms.
  • Extract monthly behavior data reports from Therap.
  • Send monthly behavior data to WSC.
  • Send out and track satisfaction surveys to all program participants, annually or semi-annually depending upon requirements.
  • Compile satisfaction survey results once received.
  • Present satisfaction survey results to LSP program director
  • Other duties as assigned.
  • SUPERVISORY RESPONSIBILITY
  • No supervisory responsibility

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

  • Primary activities are conducted within a well-lit, climate-controlled facility.
  • Occasional community outings may require outdoor travel and potential exposure to unpleasant weather.
  • Ability to bend, stand, kneel, crouch, walk, or sit for extended periods of time and possess the normal range of body motion.
  • Ability to feel objects, tools, controls, reach with hands and arms.
  • Must occasionally lift or move up to 25 pounds.
  • Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

QUALIFICATIONS

  • High School diploma or equivalent.
  • One (1) year experience in an office setting, preferably in a medical office, prior experience working with Individuals with Disabilities a plus.
  • One (1) year customer service experience.
  • Valid state driver’s license.
  • Must pass Level II Background screening.
  • High level of computer experience and data management.

  • Exhibit strong interpersonal and communication skills.
  • Highly proficient computer skills
  • Must be able to navigate multiple operations systems.
  • Must be very detail oriented.
  • Ability to work under tight time parameters.
  • Ability and interest in working with people with developmental disabilities and physical limitations.
  • Demonstrate reliability, dependability, and punctuality.
  • Must maintain training compliance per APD requirements.
