Position Overview

We are seeking a new full-time member of our team to support the operations of the Workforce Training Fund. This is a hybrid role, primarily working remotely with some in-person meetings required in the organization’s Boston office. This role will primarily support the General Program grant application process; the Program Coordinator Workforce Training Fund will support program staff and applicants of the Workforce Training Fund.

Classification: Full-Time, Exempt

Work hours: 40 hours per week - Hybrid

Starting Salary: $55,000-$60,000Employer contributes 13.2% of gross salary to a 401(a)-employee retirement plan. (Vested 100% on day 1 of hire)

Responsibilities

  • Provide administrative support, which includes data entry & management, records maintenance, coordination with other agencies to review compliance, communication with grantees, and coordination of team activity.
  • Provide exceptional first point-of-contact customer service to businesses and training providers interested in, or actively participating in, one or more WTFP programs; provide technical assistance and regularly follow up with constituents to problem-solve and resolve issues.
  • Coordinate activities throughout the General Program grant procurement process following standard protocols, including review of submissions for completeness, verifying policy compliance, reviewing proposed grant budgets for mathematical errors, communicating requirements and outcomes to applicants, and managing reporting on procurement process benchmarks.
  • Provide ongoing administrative support to program leadership and grant management team as needed. Including processing information according to standard protocol, supporting meetings and events, grantee outreach, and working with the WTFP team to develop and implement strategic process improvements
  • Work with other team members to identify trends in support needs and help design solutions for recurring questions and issues.
  • Maintain knowledge of CommCorp programs and direct interested parties to additional resources and other sources of information.
  • Perform other tasks as required.

Knowledge, Skills, and Competencies:

  • This role includes significant time supporting customers. We are seeking a team member with customer service experience who enjoys working with customers to get to a positive resolution. 
  • Qualified candidates should be dependable, resourceful, enthusiastic, proactive, detail-oriented, disciplined, and highly organized.
  • Excellent technology skills. Salesforce admin experience is a plus. Must quickly become proficient in advanced uses of Salesforce.com, Excel, Freshdesk, and other platformsno coding required.
  • Excellent written/verbal communication skills
  • Interest and ability to adapt to change and continually improve processes.
  • Critical thinking and problem-solving skills are essential
  • Ability to multi-task and prioritize when handling multiple projects and tasks simultaneously

Minimum Qualifications

  • 1-3 years of administrative experience in a customer-facing role is required; at least 3 years is preferred.
  • Bachelor’s Degree or equivalent combination of academic coursework and professional experience required.
  • Excellent English written/verbal communication skills; bilingualism in at least one other language commonly spoken in Massachusetts (e.g., Spanish, Portuguese, or simplified Chinese) is preferred.
  • Proficiency with Excel
  • Comfort and ability to adopt new software platforms
