Job Description

The registration coordinator serves as a customer service representative for the Continuing & Professional Education (CPE) registration team by assisting customers/participants with general questions and providing registration services in a high-volume environment to a diverse clientele in-person, by phone, and via email. Overall, this position provides registration-related support for nearly 350 programs and 26,000 participants per year. Specifically, the registration coordinator is responsible for processing financial transactions (including payments and refunds) while complying with funds handling guidelines, performing data entry into CPE’s student information system, reviewing balance sheets for accuracy, and reconciling revenue-related discrepancies. Since the registration team is often the first point of contact for customers/participants of non-credit, university-sponsored programs coming to campus or participating regionally or across the Commonwealth of Virginia, this position requires keen attention-to-detail, exceptional customer service, full compliance with internal processes, and excellent record-keeping/documentation skills. Additionally, the successful candidate will remain calm under pressure, effectively resolve problems, and ensure quality customer service is a top priority. The registration coordinator also meets regularly with CPE’s program teams to stay abreast of new program offerings and maintain a list of common participant questions in a reference document for each program. This is a crucial responsibly of the registration coordinator since maintaining a detailed knowledge of programs is vital to effectively answering questions and cross-promoting programs while speaking with customers/participants. In addition, the registration coordinator will prepare materials for onsite program delivery (including name tags and participant sign-in sheets) and then work to document and finalize attendance records for CPE programs to ensure an accurate learning history of each participant.
Occasional travel may be required to provide onsite local and out-of-town registrations. Occasional weekend, early morning and late evening work may be required based upon program schedules. Due to the nature of this position, the registration coordinator will be required to push, pull, and safely move and handle items (program materials) up to 25 pounds or more.

Required Qualifications

•Customer service experience in a high-volume environment
•Cash handling experience, such as balancing receipts, preparing daily deposits or auditing records
•Demonstrated proficiency with current Microsoft Office software applications (Word, Excel, Outlook) and strong keyboarding skills
•Ability to work independently with minimal supervision but also work cooperatively in a team environment
•Must be able to resolve problems and make independent decisions
•Must be able to effectively and efficiently prioritize tasks and responsibilities and meet deadlines
•Ability to work well under pressure with a high degree of accuracy
•Courteous and professional communication skills (written and verbal) are necessary to work with a diverse, domestic and international clientele
•Strong organizational and time management skills

Preferred Qualifications

•Knowledge of university policies and experience
•Experience working with Continuing Education Units (CEUs)
•Experience working with Banner or other student information system
•Training or related experience in accounting and auditing
•Experience working with registration/enrollment for conferences or academic programs
