PURPOSE
The Multicultural Achievement Secretary will report to the Director Multicultural Achievement. Will be responsible logistics for program initiatives.
ESSENTIAL RESPONSIBILITIES AND DUTIES
  • The secretary for the Multicultural Achievement Department is responsible for duties including, but limited to the following:
  • Have a basic understanding of the Multicultural Achievement Department, Equity, and Restorative Practices.
  • Significant use of student information systems,/Infinite Campus retrieving information and running reports.
  • Significant use of Business Plus, including managing budgets, managing Purchase Orders, bank deposits, bank journal entries and working with special payroll.
  • Manage bus transportation for MAC programs, and communication with transportation department, teachers, families, and community organizations.
  • Purchasing for MAC program.
  • Strong general clerical duties (i) answering phone (ii) filing (iii) greeting stakeholders in building
  • Updating Google drive documents and student data reports.
  • Proficient in Microsoft Office: Excel, PowerPoint, Word and Outlook.
  • Coordinate logistics for MAC and Mini MAC conference.
  • Coordinate logistics for MAC Historically Black College Tours (HBCU).
  • Coordinate logistics for MOCHA WOCHA programs.
Perform other duties as necessary to support the mission and vision of Columbia Public School District.

Reports To: Director of Multicultural Achievement
Supervises: None
QUALIFICATIONS
Minimum: High School Diploma
Preferred: Associates degree. At least 5 years as a secretary/administrative assistant. Experience with processing systems. Purchase Orders & Some Banking (Check deposits) experience.
Ideal Candidate: Strong Customer Service Skills. Strong Microsoft Office Suite technical skills (Excel, PowerPoint, Word). Independent worker and problem solver, who can work under tight time constraints. Has the ability to multitask and is extremely organized. The ideal candidate is a self-starter and self-motivated and requires little supervision. Should be able to work in a fast-paced environment.

Physical Demands: While performing the duties of this position an employee is regularly required to sit, talk and hear; frequently required to move about and use fingers and controls; Occasionally required to reach, bend, and lift and carry up to ten pounds; Close vision ability to look at a computer screen for long periods of time is required
Attendance: Consistent and regular attendance is an essential function of this position
Conditions and Environment: The work environment is frequently chaotic with many students and staff members present and speaking simultaneously.
