Description of Work Unit
The Walter Scott, Jr. College of Engineering consists of about 3,000 students enrolled in BS, MS, and PhD programs, 145 tenure-track and non-tenure-track faculty, and over 400 support staff and research scientists. The Office of the Dean manages national accreditation for the College’s ten academic programs. The College conducts more than $75M of sponsored research annually in multiple buildings totaling more than 500,000 square feet of space, including classrooms, laboratories, centers and institutes.
The Engineering Business Officeworks closely with the CSU offices of Procurement, Business and Financial Services, the Travel Desk, and Telecommunications to coordinate the activities of the College with the university and to ensure compliance with and adherence to broader university initiatives and policies.
Position Summary
The Business Operations Support Specialist plays a crucial role in supporting the faculty, staff, and students of the college by engaging in all business operational work activities. This position requires a comprehensive understanding of diverse travel and purchasing policies, encompassing Federal, State, and University regulations. The successful candidate will demonstrate creative problem-solving skills to navigate complex concepts, working independently to interpret and communicate university regulations, ensuring overall compliance.
The role demands a high level of professional expertise, with a focus on discretion, analytical skills, personal accountability, and the ability to make independent judgments and decisions. This professional aspect is integral to successfully executing the responsibilities of the Business Operations Support Specialist within a dynamic college environment.
Required Job Qualifications
  • Bachelor’s degree
  • Two (2) years of experience in business operations, accounting, or a similar field.
  • Demonstrated knowledge of Federal, State business operation procedures, showcasing a comprehensive understanding of relevant regulations.
  • Strong written and verbal communication skills to effectively convey complex policies and procedures within a large, complex institution.
  • Ability to interpret and convey policy and procedure effectively, showcasing the capacity to navigate and communicate complex concepts within the operational framework of the institution.
  • The successful candidate must be legally authorized to work in the United States by the proposed start date. The Department will not sponsor a visa for this position.

  • Demonstrated ability to work independently and make decisions with a high level of personal accountability.
  • Professional experience utilizing the Kuali Financial Systems for various purchasing and travel actions (e.g. travel authorizations, reimbursements, employee/non-employee TEM profiles, shop catalogs, and PCard allocation)
  • Previous experience working in a higher education setting, demonstrating familiarity with the specific nuances and challenges of academic institutions.

  • Collaborate with travelers to coordinate and book comprehensive travel itineraries, encompassing transportation, lodging, and associated activities.
  • Independently evaluate and prioritize travel requests based on their urgency, importance, and alignment with organizational objectives. Handle and oversee travel-related expenses, including reimbursement processing, ensuring adherence to organizational expense policies.
  • Ensure compliance with organizational travel policies, including constraints and approval procedures, in all travel arrangements.
  • Maintain open and clear communication with travelers, furnishing them with pertinent information, updates on travel, and any modifications to arrangements. This includes managing stakeholder expectations by communicating timelines, potential delays, and adjustments to travel plans effectively.
  • Keep meticulous records of travel arrangements, expenses, and pertinent documentation for auditing and reporting purposes.
  • Stay abreast of changes in travel policies, regulations, and industry trends, and adjust internal procedures accordingly.
  • Provide valuable travel guidance to department and research personnel in support of the College’s research programs and mission.
  • Solicit feedback from travelers to pinpoint areas for improvement in the travel arrangement process and propose recommendations for enhancements.

  • Regularly review and reconcile PCard transactions to guarantee precision and conformity with organizational policies and protocols.
  • Accurately classify and allocate expenses to suitable budget categories based on the nature of the purchase.
  • Validate that receipts and supporting documentation for PCard transactions are comprehensive, precise, and meet organizational standards.
  • Ensure strict adherence to PCard policies and guidelines, encompassing spending limits, allowable expenses, and any specific regulations established by the organization.
  • Communicate with cardholders to secure missing receipts, clarify transactions, or obtain any additional information necessary for precise reallocation.
  • Prepare and organize PCard transactions and associated documentation for both internal and external audits, ensuring compliance with financial regulations.
  • Coordinate training and assistance to PCard holders regarding proper procedures, documentation requisites, and adherence to financial policies.
