As we approach year-end, candidates should be prepared for intensive periods of work, including long hours and weekends to meet tight deadlines. The year-end close spans the first 10 working days of January, followed immediately by external audit. The upside is we typically issue our financial statements by mid-March. Under the general supervision of the Accounting Controller, the Accounts Payable/Payroll Supervisor can expect to spend their day:

  • Planning, coordinating, organizing, scheduling, and prioritizing work tasks for employees in the accounts payable and payroll teams
  • Training and providing technical guidance to staff
  • Addressing internal and external inquiries and data requests
  • Troubleshooting problems by gathering, researching, and analyzing data and recommending or implementing action as appropriate
  • Performing quality review of all work prepared or reviewed to ensure accuracy and completeness of all assignments
  • Implementing procedures to increase efficiencies in daily operations

Payroll

  • Supervises preparing and distributing the organization's payroll, including maintaining earnings and deduction records
  • Ensures that all federal, state, and local taxes, Medicare, PERA contributions, contributions to employee benefit programs, and other deductions are withheld from individual paychecks
  • Directs the preparation and filing of required reports and/or payments to government agencies, insurance carriers, other organizations and individual employees
  • Serves as liaison with other departments and units, in the resolution of payroll problems
  • Recommends changes in methods or procedures to improve the efficiency of the payroll function

Accounts Payable

  • Supervise a team of accounts payables clerks that code expenses, verify and process invoices, and issue payments
  • Ensure that invoices or other financial obligations are processed and paid on time
  • Maintain payment records and ensure that transactions are posted to the company ledger
  • Identify, develop, and/or implement improvements to accounting policy, procedures, internal control, quality control, and documentation
  • Perform financial analysis and research, draw appropriate conclusions, and document findings
  • Oversee activities related to month-end, quarter-end, and/or year-end closings

The successful candidate will have the following skills and experience:

  • Attention to detail and accuracy in financial data entry and reconciliation
  • Leadership abilities and experience guiding staff, including motivation
  • Ability to work well in a team environment
  • Familiarity with regulatory compliance and general accounting practices. Continuous education and commitment to staying updated on accounting and payroll standards and industry trends
  • Strong organizational and time management skills.
  • Clear communication skills, both verbal and written.
  • Ability to prioritize tasks and manage workload effectively.
  • An associate degree in Accounting, Finance, or a related field; bachelor’s degree (preferred).
  • 5-8 years of experience in accounting, financial, payroll or bookkeeping functions. Supervisory experience is preferred. An equivalent combination of training, education, and experience that provides the required skills, knowledge, and abilities may be accepted instead of experience.
  • Certified Payroll Professional (CPP) Certification preferred
