About the Position

Dedicated Scheduling Coordinator supporting Historic Area Operations, adept at scheduling with administrative proficiency, problem-solving, and specialized knowledge. Responsible for executing projects, representing the division on committees, and providing exceptional customer service to internal and external stakeholders, ensuring operational efficiency and guest satisfaction.

  • Supports the supervisor of Historic Area scheduling in creating, maintaining and communication staff schedules for the Historic Area Operations Division.
  • Advanced proficiency in technology & software systems (i.e. Scheduling Systems, Word, Excel, UKG, Ulti-Pro, EMS, Outlook, Excel, Ticketing systems) to record and maintain work schedules and communicates hours scheduled to timekeeping, to individual employees and to the management team.
  • Maintains appropriate records and produces reports as required.
  • Assist with management of program ticket inventory and coordinates with booking of programs for school groups, Hotel Conference Services, Hotel Concierge, Visitor Center, and other special requests.
  • Actively manages inquiries by answering questions, solving problems and seeking out answers from staff and other parts of the Foundation.
  • Establishes and maintains strong working relationships with the division’s interpreters, supervisors, managers, and directors, and effectively coordinates programs and communication. Communicates in a helpful, proactive manner with all involved. Uses good judgement in discerning between information that is confidential and information that is needed by others to do their job.
  • Collaborates to secure required professional, technical, creative, talent, equipment, and other resources, including coordinating resources across the division and foundation.
  • Outstanding ability to communicate effectively, both orally and in writing, with a wide range of personnel from all levels of the Foundation.
  • Demonstrates and promotes positivity, flexibility, and resiliency in a changing environment.
  • Ability to interpret data, highlight areas of concern and present findings and suggested solutions.
  • Ability to perform multiple work assignments concurrently, exercising time management skills to ensure timely completion of all assignments.

Required and Preferred Education and Experience:

Required: Combination of education and experience comparable to two (2) years of college and five (5) years of progressively responsible administrative work experience. Competencies usually gained through the educational equivalent of one to two years of college AND/OR two to three years of progressively responsible experience in administrative positions, OR any combination of education and experience that fulfills the responsibilities of the job.

Preferred: Detailed knowledge of latest information technology.
